About the role

SUMMARY

Provides high level department support on one or more projects, with the day-to-day tasks as primary support of a corporate project or initiatives.  The Project Coordinator plays an important role in ensuring departmental objectives are supported on all fronts. The Project Coordinator is highly organized and detail oriented, and has amazing communication, project management and people engagement skills to build relationships at all levels in the organization.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Perform administrative support duties and process documentation as assigned by PM/PE.
  • Assist PM/PE in getting documentation signed.
  • Set up and maintain all project filing systems, including archiving project records.
  • Assist in processing of Contract Agreements.
  • Provide support to Project Management including but not limited billing logs, rental logs, normal day-to-day activities.
  • Generate and distribute all project and field reports.
  • Assist in Subcontracted Agreement preparation and processing as directed by PM/PE.
  • Maintain positive and professional relationships with all customers, external and internal.
  • Assist in preparation, processing, and submittal of all project closeout documentation.
  • Assist in maintaining project coordination and coordination between departments.
  • Attend and document meetings per PD/PM direction.
  • Overall project documentation control.
  • Potential added or evolved duties as per PD/PM discretion.
  • Follow check list for processing and reviewing subcontracts for accuracy and compliance.
  • Process GC Change Orders for signature, verify amounts match in system, and prepare for signature including scan, file, copy PM and email.
  • Review and Verify Billings and Liens for accuracy prior to entering in COINS and submitting for VP Signature, verify retention amounts.
  • Work with PD/PM and AR to verify correct payment received and processed to eliminate future errors and corrections.
  • Support duties and process documentation as required.
  • Comply with all company policies and procedures.

  • All employees and subcontractors are required to implement and maintain all safety and health systems practices including the training requirement of CSUSASW Orientation.

EDUCATION and/or EXPERIENCE

Bachelor's degree from four-year college or university or minimum 0 - 5 years progressive experience with construction.

                                        

LANGUAGE SKILLS

Ability to write, read and interpret documents such sales report, business reports and procedure manuals.  Ability to effectively present information and respond to questions before groups of customers, managers, clients, and the public.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area circumference and volume.

COMPUTER SKILLS

Ability to use Microsoft Office programs. Word, Excel, Power Point, Access, and Project.

REASONING ABILITY

Ability to solve practical problems and deal with situations with several concrete variables in situations where standardization exists. Ability to apply common sense understanding to carry out instructions furnished in written, oral, diagram, or schedule form.
