Role description:

Arcadis is seeking a Project Administrator to join our Resilience Water West Construction group in Southern California!  This is a Part-time position at 32 hours a week located in San Diego, CA.  

As a Project Administrator, you will assist Project Managers (PMs) and their teams with strategic financial planning.  You will work closely with various project managers and their teams by monitoring and formatting invoices, along with project sub consultants.

Role accountabilities:

The Project Administrator supports Project Managers in ensuring effective control and communication of project budgets, scopes, schedules, progress, and invoicing. This role is responsible for supporting overall project delivery through consistent oversight of project health, including monthly reviews and participation in financial review meetings with the finance team and project managers. The Project Administrator ensures that all documentation within the project repository is accurate, complete, and up to date, while also providing onboarding and guidance for project management tools and business processes. Key responsibilities include tracking invoicing activities for clients and subconsultants, preparing and submitting subcontract agreements (CLS) for legal review, and assisting project managers with resource forecasting, resource leveling, and workload planning. The role also maintains standardized project management processes and templates and collects and analyzes lessons learned and feedback to drive continuous improvement and updates across project documentation and workflows.

Key Skills/Attributes:

Key skills and attributes include advanced proficiency with desktop applications such as Microsoft Word, Excel, and PowerPoint, along with strong experience using Oracle and other Microsoft Office tools. The role requires a logical, analytical mindset with the ability to think through complex issues and coordinate multiple facets of project work. Excellent attention to detail and strong database management capabilities are essential, as is the ability to prioritize tasks effectively and meet simultaneous deadlines.

Qualifications & Experience:

Required Qualifications:

  • 8 years of relevant work experience in project finance and management.

Preferred Qualifications:

  • Familiarity with project management principles and techniques.
  • Financial training.
