About the role

Overview:   Geotechnology, a Universal Engineering Sciences (UES) has an opening in our Administrative department. UES is a nationwide leader in Geotechnical Engineering, Construction Materials Testing and Inspection, Building Code Compliance, Environmental, Occupational Health & Safety, and Building Envelope.
Under the direction of the Regional Manager, this position’s duties vary according to administrative need.  Administrative responsibilities include assisting in project initiation, assisting with word processing edits, finalizing documents by following Company format and document filing.  Performs other duties as assigned.

Job Responsibilities:

  • Compile and enter info weekly needed for DOT invoice preparation: hours, receipts, footage, units, mileage, etc.
  • Upon the month close, prepare DOT invoices for Project Manager’s review
  • Finalize invoices and ensure client delivery
  • Review initial CMT invoices and edit accordingly: minimum charges, trip charges match tasks, hours in the correct tasks, etc.
  • Submit CMT invoices to Project Manager to finalize.
  • Ensure LS projects are invoiced when job is complete and not wait for monthly invoicing.
  • Assist Billers/Collectors with A/R.
  • Assist Project Manager’s and Group Manager’s with other tasks.
  • Review timesheets for correct Project Numbers, Task Codes and Activity Codes weekly prior to Manager approval.
  • Review equipment units logs, laboratory testing unit logs, field testing unit logs, mileage/mileage zones prior to Manager approval for accounting.
  • Assist in covering reception desk duties.
  • Special projects as required.

Qualifications:

  • High school diploma or equivalent experience/capability.
  • 3-5 year office experience required.
