Position Description

Core Job Summary:

The Program Coordinator coordinates day-to-day operations of the program. Moreover, the incumbent assists with the development, organization, production, and evaluation of the program to achieve its mission, goals, and objectives. An employee in this position demonstrates familiarity with University policies and procedures and ensures program compliance.

Core Job Functions:

Acts as a liaison to program constituents. Assists with the preparation and/or delivery of program content. Facilitates collaboration between different schools, community agencies, and/or academic support units throughout the University. Coordinates the collection, compilation, and analysis of program activity data. Drafts comprehensive, statistical, and/or narrative program reports and evaluations, and monitors program effectiveness, making suggestions for revisions when appropriate. Coordinates the scheduling of program components. Drafts and initiates correspondence, develops agendas, maintains calendars, assists in accumulation of reference materials, and coordinates and attends committee meetings. Assists with the development and implementation of program marketing. Provides assistance and support for participants and/or program constituents in all administrative aspects of the program and maintains files and/or program data. Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions:

The Program Coordinator provides support to the Academic Achievement Program which includes the program’s Director, two Associate Directors and Adjunct faculty.  This includes the following:

  • Supports the Academic Achievement Program faculty, to include maintaining Blackboard pages and the AAP website, creating course packets, syllabi, supplementary materials, and monitoring student completion and attendance.
  • Serves as liaison to faculty to maximize positive engagement with the Dean’s Fellows program and effective administration of the Dean’s Fellows selection process.
  • Interprets policies and procedures in administering the Dean’s Fellows program by coordinating, selecting, hiring, training, and evaluating the Dean’s Fellows.
  • Works with the Bar Vendor(s) to coordinate support for class materials, grading, tabling, navigating the campus, and other support as needed.
  • Serves as primary liaison with students by responding to their email and phone inquiries. During spring semesters, AAP courses typically have over 250 students enrolled across 3 courses.
  • Administers mid-term and final examinations and assists with submitting final grades.
  • Supports the administrative enforcement of student enrollment in required Academic Achievement classes and functions as a liaison with the registrar’s office.
  • Coordinates events within the Academic Achievement department such as Boot Camp, 1L Exam Success Series, 1L Essentials of Law School Success Workshop, Principals of Legal Analysis Workshops.
  • Coordinates any other special events or workshops, which include organizing meetings, serving as liaison to guest speakers, reserving rooms, arranging parking, audio visual services, ordering catering for events, creating flyers and signage, and managing social media accounts.
  • Provides general clerical support which may include basic student services, maintaining calendars, documents, reports, and data.
  • Provides additional support during the bar exam by coordinating venues and RSVPs for Academic Achievement networking events, bar taker lunches, and other services.
  • Assists in bar passage data collection from jurisdictions for use in ABA reports.
  • Prepares and submits reimbursements and purchase orders for faculty and staff regarding travel, dues and memberships, expenses relating to events and other reimbursements as necessary electronically through the University’s Workday system.
  • Provides backup support as needed to Administrative Assistant(s) within the Academic & Student Services suite.
