Job Description

The People Operations Manager is an exceptional executor, innovative thinker, and people-oriented team player who offers ongoing strategic assistance across the People team and a diverse group of stakeholders. This role delivers on complex and specialized People Operations tasks, maintaining and leveraging data to drive insights which help identify key business objectives and team priorities. This role drives continual process improvement across the entire People function, has an eye for detail, and is tech savvy and comfortable exploring new technologies to drive efficiencies. 

Job Responsibilities  

Process Improvement 

  • Constantly looking for opportunities to improve efficiency within the People Operations team by streamlining activities, better utilizing technology, etc.  
  • Assisting with documenting and maintaining consistent, scalable processes that are easily auditable and ensure no steps are missed.  
  • Collaborating with the broader People team to evaluate existing practices and collaborate on opportunities for improvement 

Employee Lifecycle Management 

  • Acting as a primary point of contact for new hires during the onboarding process, facilitating the collection of necessary paperwork, employee details, etc.  
  • Providing direct employee support for questions and guidance related to People topics and policies, striving to always provide an excellent employee experience. 
  • Triaging People Team tickets, responding or assigning tickets to the appropriate group if escalation is required 
  • Facilitating offboarding paperwork and acting as a first point of contact for exiting employees 

Data Management 

  • Administrating HRIS 
  • Ensuring data accuracy and integrity 
  • Maintaining employee records based on personal information changes, employment status changes, etc.  
  • Generating and providing requested reports from employee data, ensuring that confidential and personal information is appropriately masked or removed if needed 
  • Ensuring guidelines for assigning cost centers, department alignment, job title format, etc. are adhered to and identify/escalate discrepancies to the appropriate parties 
  • Working with team members to resolve any identified discrepancies or errors in data 
  • Coordinating with Payroll, Finance, and other departments within the business to provide People-related data when required 

Legal Compliance 

  • Conducting or assisting with required verifications and mandatory reporting, which may include I-9/e-Verify checks, international Right to Work verification, EEO-1 filings, payroll audits, and other compliance reviews 
  • Maintaining various trackers/reports, capturing evidence for risk controls 
  • Regularly auditing internal data for discrepancies 
  • Reviewing letter templates during drafting/proofing processes to identify questions/concerns/inaccuracies that should be reviewed or confirmed with Legal before issuing 

General Administration 

  • Acting as the primary on-site presence in HQ office for the People team 
  • Fielding questions/concerns from internal and external contacts 
  • Helping to maintain various letter templates based on current brand standards and recommended legal updates 
  • Generating letters as requested from the People team (employment offers, terminations, internal changes, employment verifications, etc.) 
  • Maintaining employee files, ensuring all documentation is appropriately filed and adheres to guidelines for document retention.  
  • Assisting with strategic and project-based administrative tasks as required 

Qualifications

  • Strong project management skills, with a focus on managing competing/shifting priorities and deadlines 
  • Experience developing and documenting policies and procedures 
  • Experience as an HRIS administrator (Workday experience strongly preferred; TalentSoft, ADP or similar) implementing system features, maintaining data, and utilizing reporting & analytics 
  • Employment law and HR operating experience within North America; additional international HR experience will be consider
