Overview:
The Payroll Specialist is responsible for accurate and timely multi-state payroll processing while ensuring compliance with all applicable federal, state, and local regulations. This role requires a detail-oriented professional with experience in ADP payroll software, excellent organizational skills, and the ability to work collaboratively with HR and department managers.
Key Responsibilities:
Payroll Processing & Compliance
- Accurately enter, maintain, and process payroll data including salaries, hourly wages, bonuses, commissions, and deductions.
- Ensure compliance with federal, state, and local wage and hour laws across multiple states.
- Maintain accurate payroll records and documentation for audits and internal reviews.
Multi-State Payroll & Tax Administration
- Process and reconcile multi-state payroll, ensuring correct state and local tax withholdings.
- Stay informed of changing state and federal tax laws and update systems accordingly.
- Assist in preparation and filing of payroll taxes and year-end tax documents (W-2s, W-4s, etc.).
Garnishments & Deductions
- Process garnishments such as child support, tax levies, and wage assignments in compliance with legal mandates.
- Manage voluntary deductions including benefits, 401(k), and charitable contributions.
System Support & Employee Service
- Provide payroll system support using ADP and resolve employee inquiries related to pay, timekeeping, and direct deposit.
- Collaborate with HR on employee data changes, including new hires, terminations, and rate adjustments.
Reporting & Reconciliation
- Assist with payroll-related GL account reconciliations and monthly bank statement reviews.
- Generate internal reports on payroll metrics and labor costs for management.
Additional Responsibilities:
- Process off-cycle, correction, and final paychecks in compliance with company policy and state requirements (e.g., terminations, retroactive adjustments).
- Set up and manage direct deposit information for employees, ensuring timely updates and error resolution.
- Coordinate with HR and Benefits teams to ensure payroll changes align with benefits eligibility and enrollment (e.g., FMLA, COBRA, LOA).
- Audit payroll data regularly to ensure data integrity and accuracy across HRIS, timekeeping, and payroll systems.
- Support system upgrades or transitions, such as implementing new payroll or timekeeping software.
- Maintain payroll calendar and deadlines, ensuring all stakeholders are informed of upcoming cycles and requirements.
- Train or support other team members on payroll-related processes and procedures.
- Document payroll procedures and workflows for internal controls and cross-training purposes.
- Assist with unemployment claims and responses as related to payroll history.
- Generate and maintain payroll metrics (e.g., labor cost trends, overtime analysis, headcount reporting).
Requirements
- Strong understanding of multi-state payroll principles, practices, and procedures.

- Effective time management skills with the ability to meet deadlines in a fast-paced environment.
- Proficiency in payroll software, preferably ADP or similar platforms.
Education and Experience
- Bachelor's degree in Accounting, Finance, HR, or a related field, or equivalent combination of education and 5+ years of payroll experience.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15–25 pounds at times.
