About the role

Position Summary

The Payroll Clerk / Union Payroll & General Office Support role is responsible for the accurate and timely processing of payroll for union and non‑union employees in compliance with collective bargaining agreements (CBAs), company policies, and all applicable federal, state, and local labor laws. This position also provides general administrative and office support while maintaining strict confidentiality and professionalism.

 

Payroll Duties

  • Keep up with ADP Time and Attendance for 4 branch locations, approx. 120 employees, in accordance with applicable collective bargaining agreements, wage schedules and company policies.
  • Maintain and update employee payroll records, including new hires, terminations and wage changes as outlined in CBA’s.  
  • Review and verify timesheets, attendance records, overtime, and leave balances.
  • Calculate payroll-related adjustments such as commissions using union contracts.
  • Prepare correspondence, reports, spreadsheets, and data entry related to payroll and office operations.
  • Ensure compliance with federal, state, and local payroll regulations.
  • Prepare payroll reports and assist with audits as required.
  • Respond to employee payroll questions and resolve discrepancies promptly.
  • Coordinate payroll-related information with HR, accounting, and management.

General Office & Administrative Duties

  • Provide clerical and administrative support to office staff and management
  • Answer phone calls, direct calls, and respond to emails in a professional manner
  • Maintain filing systems (paper and electronic) and ensure records are organized and up to date
  • Assist with data entry, correspondence, and document preparation
  • Assist with route accounting and other daily operating tasks
  • Support onboarding and general HR administrative tasks
  • Perform other related duties as assigned

Qualifications & Skills

Required

  • High school diploma or equivalent
  • Previous payroll experience preferred – specifically ADP and SAP
  • Strong attention to detail and accuracy
  • Ability to handle confidential information with discretion
  • Basic accounting and math skills and ability to figure hours worked
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Strong organizational and time-management skills
  • Excellent verbal and written communication skills
  • Coachable and willingness to learn

 

Preferred

  • Some general business and office experience
  • Experience with payroll software (specifically ADP)
  • Experience working in a union environment
  • Knowledge of payroll reporting and labor laws

Work Environment

  • Office-based position with regular business hours
  • Ability to sit for extended periods and use standard office equipment
  • Hours: Monday – Friday, 7:30 AM – 4:00 PM
  • The Payroll Administrator is an hourly (non- exempt) role
  • This is not a remote position, this is on site
  • Reports to the Office Manager / General Manager
