 Core Functions: 

  • Stay Informed of current laws and regulations and ensure compliance. 
  • Responsible for recruiting, training, and supervising staff members. 
  • Responsible for creating work schedules, developing goals and objectives, and maintaining records of the clinic's services.
  • Possess a high degree of technical aptitude to keep current on healthcare advances in technology, as well as possessing the ability to use classification and coding software, along with electronic health record (EHR) systems.
  • Responsible for proposing and maintaining budgets and ensuring that the facility runs efficiently within the budget limits. 
  • Maintain Corrective & Preventive Action (CAPA) process and ensure timely follow-up and implementation of corrective actions.
  • Manage relationships between vendors; review agreements and change orders; develop functional oversight plans.
  • Generate quality reports, utilizing statistics as appropriate, for management review.
  • Oversee study trial activities, tracking progress against timelines; interact with study teams to identify and resolve issues.
  • Direct oversight of day-to-day management of medical records, front desk and clinical coordinator and security manager. 
  • Oversee patient registration, patient check-in and check-out and referral tracking
  • Responsible for clinical staffing, optimizing appointment schedules, workflow policies and procedures, and needed to meet clinical goals. 
  • Responsible for ensuring excellent patient experience and that patient complaints and grievances are addressed and resolved in a timely and responsive manner. 
  • Develop, review, update and ensure adherence to RMU Eye Clinics policies, procedures, process improvement, training, evaluations, customer service, patient access, productivity, confidentiality, management of EHR, billing, clinic receipt and deposits and facility. 
  • Develop and monitor program goals and objectives, including clinical visits, outreach numbers, and referrals from clinics. 
  • Assist in the collection and maintenance of documentation (particularly accreditation-related documents) as appropriate and required for the program.
  • As needed, assist with conducting and maintaining background checks, immunization, HIPAA, and licensure records.
  • Assist in tracking faculty and student clinical certifications 
  • Assist with distribution of clinical evaluation documentation 
  • General office duties such as filing, copying, scanning, communication, etc. 
  • Assist with other University-related and College-related matters as assigned by the Assistant Dean of Clinical Affairs

 Background/Expertise: 

  • A bachelor's degree from an accredited institution is preferred. 
  • Understanding of and adherence to FERPA and HIPAA regulations.
  • Minimum of 2 years of related healthcare experience required. Experience with clinical informatics/trials preferred. 
  • Minimum 3 years prior supervisory
