Purpose
The Operations Associate will play a vital role in supporting the day-to-day operations and logistical coordination across the portfolio of Working Professional & Executive (WP/E) MBA programs. This position will work closely with the program management team to ensure seamless administrative processes, student services, faculty support and other operational functions. The ideal candidate will have prior experience in higher education administration, strong organizational skills, and excellent attention to detail.
Responsibilities
Program Operations
- Coordinates procurement and distribution of branded merchandise. Requires proactive communications and close partnerships across functional areas to ensure accurate and timely distribution of items, and a solid understanding of UT and McCombs purchasing guidelines.
- Provides support to faculty, including authorizations for program-related travel, instructor payments, course evaluation survey distribution and survey data collection.
- Maintains faculty distribution lists.
- Collaborates with WP/E MBA program leadership and staff to understand the unique operational needs of each program.
- Maintains organized records, files, and databases related to the WP/E MBA program portfolio.
- Supports cross-functional projects and initiatives involving other departments (admissions, career services, finance, etc.).
- Troubleshoots and problem-solving operational issues, maintaining a calm and professional demeanor.
- Analyzes program-related data and feedback to identify areas for improvement.
Strategic Initiatives
- Provide general administrative support for WP/E MBA program strategic initiatives.
- Provides feedback on current processes and supports planning and implementation of process improvements.
Assists with additional administrative duties as assigned.
Required Qualifications
- Bachelor's Degree with one (1) year of experience at the Administrative Assistant level or High School Diploma and five (5) years of clerical experience.
- Ability to work occasional evening and weekend hours and conduct in-state travel in support of job duties.
- Exceptional organizational and multi-tasking abilities with strong attention to detail.
- Excellent interpersonal and communication skills, both written and verbal.
- Proficient with Microsoft Office suite, and other relevant technology.
- Creative problem-solving skills and the ability to work well under pressure.
- Success working in a team setting.
- Demonstrated ability to communicate with a large population.
- Professional demeanor and a service-minded approach to executing job functions.
- Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
- Bachelor's degree and 2-3 years' experience performing complex administrative functions.
- Experience in an academic or higher education setting.
- Knowledge of MBA program operations or prior work in graduate-level education
