Position Overview

Employment in this position is contingent upon a satisfactory criminal history check (fingerprint-based) in accordance with Chapter 435, Florida Statutes within 3 days of hire.
The Office of Licensing and Permitting (OLP) is seeking an individual to fill the position of Operations Analyst II. The primary duties include scheduling meetings, taking notes, establishing task deadlines, and providing organizational support to OLP program managers and their team members. This is an entry level position and the selected applicant will have ample opportunity for career growth and development. A strong candidate will be proficient in written and verbal communication skills, organized, self-motivated and willing to engage with office staff frequently.
Minimum Qualifications
Four years of professional experience in systems analysis, management analysis, program planning, program research, program evaluation, engineering, or administrative work is required.
A Bachelors degree in systems analysis, management analysis, program planning, program research, program evaluation, engineering can substitute on a year for year basis for required experience.
Duties and Responsibilities
Responsible for organizing, prioritizing, planning, coordinating, and effectively communicating priorities, tasks, due dates, and needs for projects, tasks, events, and teams to co-workers and supervisor
- Adheres to Office and Agency rules, regulations, and policies
- Demonstrates and maintains knowledge of the functions of all positions in the office and willingly assists with other tasks as needed or assigned
- Coordinates staff assignments, project tasks and timelines for supervisor to ensure projects and assignments are completed and submitted accurately and in a timely manner
- Organizes daily administrative activities, leads, and tracks special projects or activities and updates supervisor on status, delays, or concerns.
- Performs special assignments, research, and report preparation.
- Evaluates, identifies, and presents ideas to supervisor on opportunities to improve processes and procedures within the office
Drafts and updates desk procedures for office.
Assists with the updating, monitoring, scoping, and testing of assigned system(s) according to work plan and office needs.
- Assists coordination of scoping for development needs/improvements including documentation/notetaking
- Completes action items related to system functions including setups and regular maintenance needs
- Communicates with internal and external groups to keep them informed of project plans, updates, and upcoming events
- Provides regular status updates to supervisor
- Participates in Quality Assurance processes and testing
Promptly and courteously assists staff, public, and license agents with questions and transactions concerning licensing, permitting, and related customer services.
- Assists with escalated calls
- Responds to and documents complaints and requests from the public and potential licensees and provides information
- Is knowledgeable of how all licenses and permits issued by the office are processed
- Is aware of time limited and scheduled license or permit application periods and deadlines
- Monitors, reviews and responds to Ask FWC, ‘Tracker’ or other electronic requests by the expected completion date
- Receives and fulfills public records requests; coordinating with the Public Records Liaison and subject matter experts, as required
Monitors and reports on compliance with license, permit, endorsement, and certificate/tag processing procedures
- Responsible for reviewing and sharing improvements in procedures in coordination with the office managers
