OPEN SPACE ADMINISTRATIVE COORDINATOR
Under the direction of the Operations Support Manager this position is responsible for assisting in a variety of administrative operations for the Community Operations department. This position serves as the first point of contact with the public for Community Operations and as a liaison between the other departments and divisions within CA.

Essential Duties & Responsibilities:

1. Work independently and manage multiple tasks/projects simultaneously.
2. Effectively communicate orally and in writing with team members, CA members, non-members, and residents.
3. Follow directions from multiple supervisors, orally and in writing.
4. May provide administrative oversight to office staff
5. Proficiency with Microsoft Office programs (Word, Excel, Access); Office Suite required. Knowledge of Ascend, Lawson and Smartsheet preferred.
6. Provides administrative support for the Open Space office to include, but not limited to, answering telephones, reviewing and controlling incoming and outgoing correspondence, and follow-up on operational commitments.
7. Provides prompt, accurate, and informed responses, including referral services, to the general public and community organizations concerning Community Operations services as well as maintenance and safety issues.
8. Records open space maintenance requests and follows up with Managers and Foremen to ensure timely response. Assesses the priority of open space concerns and uses independent judgment in the absence of administrative superiors in emergencies as required.
9. Assist in database management for Open Space work order system and Columbia Dog Park registration.
10. Utilize Lawson and Ascend to support accounting responsibilities for Community Operations.
11. Assist staff with multiple filing systems, databases, records, and reports.
12. Assist with research information from a variety of sources including, but not limited to, vendors, database reports and email communications.
13. Assist in project development including preparation of written communications, etc.

Knowledge, Skills & Abilities

1. Strong Customer Service and problem-solving skills
2. Knowledge and Efficient use of standard office equipment.
3. Efficiency in the use of computers, specifically Microsoft Word, Excel, Smartsheet, DocuSign, and Microsoft Office Suite.
4. Knowledge of Operating/Capital Budgets, as well as a working knowledge of Accounting Procedures.
5. Excellent organizational skills.
6. Ability to establish and maintain effective working relationships with others.
7. Excellent writing and verbal skills.
8. Ability to analyze and solve problems.

License, Certificates, etc.
Certifications for Business Administration or Office Administration Preferred.

Physical Demands of Job

1. Ability to remain seated for long periods of time
2. Ability to bend, stoop, reach and climb without difficulty
3. Ability to lift up to 50 pounds as may be required
4. Ability to work in an office setting


The pay range for this position is $23.30 to $29.12. The actual pay rate offered will depend on the overall qualifications of the individual applicant for the position and the amount budgeted for the role.
