Job Summary
The Onboarding Specialist plays a vital role in creating a positive and seamless experience for all new hires at Moon Valley Nurseries. This position is responsible for coordinating and executing the onboarding process from offer acceptance through the first weeks of employment, ensuring compliance with company policies and legal requirements while fostering a welcoming environment for our team members.
Key Duties and Responsibilities
- Coordinate all aspects of the onboarding process for new hires, including preparing offer letters, processing pre-employment paperwork, and scheduling orientations.
- Facilitate new hire orientation sessions to introduce company culture, policies, and procedures.
- Manage I-9 verifications and E-Verify submissions to ensure compliance with federal and state regulations.
- Serve as the first point of contact for new hires, answering questions and providing support to ensure a smooth transition into their roles.
- Collaborate with HR, payroll, IT, and operational teams to ensure all onboarding tasks are completed timely, including equipment and system access setup.
- Maintain accurate and up-to-date employee records within HRIS systems.
- Assist with front desk coverage and general administrative tasks as needed to support the HR team.
- Continuously seek opportunities to improve the onboarding process to enhance the new hire experience and operational efficiency.
- Support additional HR projects and initiatives as assigned.
Qualifications
Qualifications: Knowledge, Skills & Abilities
- 1+ years of experience in onboarding, HR coordination, or administrative support roles preferred.
- Knowledge of I-9 and E-Verify processes is a plus.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills with a customer service mindset.
- Ability to handle sensitive information with confidentiality and professionalism.
- Proficiency in Microsoft Office Suite; experience with HRIS systems is a plus.
- Ability to multitask and adapt in a fast-paced environment.
Education
Four-year degree in Human Resources or equivalent experience.
Physical requirements/Working conditions
While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing all day. The employee must frequently lift and/or move items over 15 pounds. Able to work outdoors for extended periods of time in possibly extreme conditions, including rain, heat, sun, and wind.
