What We Are Looking For:
The Ohana Front Desk Coordinator is responsible for providing a safe, secure, and welcoming atmosphere at the Ohana front desk/lobby for children, parents, employees, and visitors. Being observant and attentive is the number one priority. Protecting Ohana students and staff is the mission of this role. The Front Desk Coordinator needs basic office administration and computer skills and must be a quick learner, friendly, reliable, and consistent.
The best candidates for this role will be detail-oriented, adapt to change quickly and gracefully, create and able to maintain order, proactively seek constant improvement, and obsess over small details while simultaneously seeing the big picture. This is an in-person position based at Ohana, our onsite Child Development Center at our global headquarters located in Raleigh, NC.
What You'll Do:
- This role is the eyes and ears of the front lobby and the campus, ensuring we provide a safe, secure, and welcoming environment.
- They will get to know the names and faces of parents and caregivers, students and teachers, and will identify people who do not belong at the center, asking questions before allowing anyone into the building but always remaining pleasant and welcoming.
- Greet parents, caregivers, and the child(ren) promptly as they arrive or leave.
- Assists with the check-in or check-out process for the child(ren)
- Helps maintain a high standard of cleanliness in the lobby to keep a healthy and safe environment.
- Completes visitor policy procedures when guests arrive and depart.
- Communicates well with parents and staff.
- Analyzes critical situations and exercises good judgment to arrive at an effective solution.
- Helps develop effective and motivational goals to enhance superior customer service standards
- Able to create and follow systems and policies required to remain organized and orderly at the front desk
- Opens the building each day. Checking classrooms, hallways, and restrooms to make sure everything is secure and in good working order.
- Experience with Transparent Classroom software a plus
- Communicate and open tickets with facilities if things need to be fixed
- Supervises and provides instruction for the Ohana Security Guard and works with the Security team to make sure the building and playground are secure and that safety and security procedures and protocols are followed.
- Participate collaboratively and professionally with teachers and staff to promote the general well-being of the school
- Answer the phone and provide assistance
- Provides office administration and people services support as assigned.
- Occasionally provide in-classroom coverage for teaching staff, including breaks, absences, and shift changes
- Support Directors with the enrollment process, receiving forms as needed
- Manage office inventory and order additional supplies when needed
- Answer questions and assist parents with general questions or direct them to the Ohana Director.
- Make sure the snack arrives and is removed timely.
- Inspecting playground equipment and making sure umbrellas are open in the morning and closed at the end of the day.
- Responsible for targeted communication emails to parents, teachers, and others as necessary when directed by the Ohana Director.
What You Need:
- Bachelor's degree required
- 1-3 years in a Customer Service or service-related role
- Excellent communication and interpersonal skills
- 2 years of basic computer, business software, and office administration experience
- Time management skills to prioritize and complete a wide variety of tasks throughout the day
- Organized and resourceful
- Active listener
- Fast and eager
