Job Overview:

The Office Manager role is responsible for serving as the primary point of contact for the physical office space for the Pence Wealth Management office based in Newport Beach, CA.  The Office Manager will provide support to teams including but not limited to, direct management of Client Service Associates and office support staff, coordinate Financial Advisor support efforts delivered through our Client Service Associates, Service and Operations Teams, and collaborate with various business partners.

Responsibilities:

  • Manage office operations including staff scheduling, front desk support, vendor management for the physical office location, mail processing, appointment scheduling and calendar maintenance

  • Partners with Branch Manager and Field Management leadership to facilitate office activities inclusive of team meetings, office events, client events

  • Participate in hiring process and provide insight on talent decisions

  • Coaching and professional development opportunities for the support staff

  • Lead branch office administrative projects and initiatives

  • Oversees all administrative activities in the office including managing the Advisor Admin population

  • Completes ad-hoc projects as requested in support of the office’s operations

Requirements:

  • 3+ years of experience in a role managing office operations within Wealth Management

  • 3+ years of experience working with Financial Advisors, Branch and Home Office support teams

  • FINRA Series 7 & 66

Preferences:

  • 5+ years brokerage/financial services industry knowledge

  • Bachelor’s degree; preferably in Business, Accounting or Finance

  • FINRA Series 24, 9/10

  • Self-starter with a strong branch operations background and proven ability to lead work efforts across multiple internal organizations

  • Strong customer focus, excellent verbal and written communication skills and extremely organized

  • Strong analytical, strategic planning skills and relationship management skills

  • Proven ability to independently and efficiently manage multiple projects concurrently in a fast-paced environment

Pay Range:

$79,125-$131,875/year


 

Actual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
