Job: MOFM-Office Manager - Construction (Branch Administration)

As an Office Manager, you will be responsible for overseeing daily office operations and administrative functions to support the smooth running of the company’s landscaping business under the guidance and direction of the Branch Manager. This role serves as a central point of coordination between office staff, field operations, and management, ensuring processes run efficiently and accurately. The ideal candidate is highly organized, proactive, and experienced managing administrative functions in a fast paced, service based environment.

Responsibilities:
• Oversee daily office operations, including administrative workflows, scheduling, and office procedures
• Supervise and support administrative staff, providing guidance and performance feedback as needed
• Serve as a primary point of contact for office related inquiries from employees, vendors, and clients
• Coordinate paperwork and documentation for operations, HR, fleet, and finance teams
• Manage office supplies, equipment, and vendor relationships
• Support payroll, invoicing, billing, and timekeeping processes in coordination with HR and accounting
• Maintain accurate records, files, and data within company systems
• Assist management with reporting, correspondence, and special projects
• Support onboarding logistics for new hires, including office access, paperwork, and coordination
• Support operational leaders with work order management
• Manage branch reporting for the operational leadership team
• Manage all inbound calls and handle all customer service inquiries
• Greet all incoming visitors and manage walk-in applicant traffic
• Facilitate the uniform order request process at the branch level
• Performing other tasks as assigned

Requirements:
• High school diploma or equivalent required; associate or bachelor’s degree preferred
• 3–5 years of experience in an office management, administrative management, or similar role
• Strong organizational and time management skills with attention to detail
• Proficiency with Microsoft Office (Word, Excel, Outlook) and administrative software systems
• Excellent communication and customer service skills
• Ability to manage multiple priorities in a fast paced environment
• Experience handling confidential information with discretion
• Flexibility and willingness to adapt in a fast-paced and ever-changing environment
• Ability to perform with a high degree of autonomy
• High attention to detail

Preferred Skills & Experience:
• Experience working in a landscaping, construction, or field based service company
• Familiarity with payroll processing, invoicing, and basic accounting support
• Experience coordinating with field operations and management teams
• Strong problem solving skills and proactive mindset
• Ability to improve office workflows and administrative processes
• Bilingual (English/Spanish) preferred
• Acumatica experience is a plus!
