Description

PART-TIME 25 hours per week. 


GENERAL DESCRIPTION:

Provides administrative project support to the Office Administrator; performs all switchboard functions, receive guests and separate daily mail.


MAJOR RESPONSIBITIES:

  1. Answer multi-line phone lines. Gives accurate and pertinent information.
  2. Greets staff, parents and visitors upon arriving and departure from the office. Gives courteous attention.
  3. Checks voice mail in general mailbox and relays messages to appropriate staff.
  4. Keeps office areas neat and organized. Maintain clean, inviting space for visitors
  5. Receives and distributes all mail, packages and deliveries.
  6. Prepares packages for delivery via Fed-Ex.
  7. Coordinate transfer and disposal of records as per the retention schedule and policies are carried out effectively.
  8. Schedule all events on our conference/training rooms.
  9. Assist on monitor and maintain office & cleaning supplies inventory.
  10. Help maintain all copiers - change toner, clear jams, and basic support.
  11. Make mail boxes for new employees.
  12. Assists in the coordination of office related contracts & services involving maintenance & repairs, janitorial services, copy machines, mailing equipment, etc.
  13. Assist with the organization and implementation of special events.
  14. Assists applicants/clients with paperwork prior to scheduled interview or LiveScan.
  15. Screens calls for CEO in absence of Executive Assistant.
  16. Assist Manager of Administrative Services in performing duties necessary to maintain the success of ECS.

Requirements

EDUCATION AND EXPERIENCE:

  •  High School Diploma or GED with related experience required.

SKILLS, KNOWLEDGE AND ABILIITES:

  •  Excellent people skills and ability to work well with a broad range of people
  •  Ability to communicate effectively both orally and in writing
  •  Ability to answer multi-line phone system in an appealing manner and direct phone calls accordingly
  •  Ability to multi-task, prioritize and work in a fast-paced environment
  •  Knowledge of Microsoft Office products
  •  Ability to perform with little direct supervision
  •  Ability to work with employees and the public in a tactful and professional manner
  •  Ability to exercise good judgment and emotional maturity
  •  Ability to maintain confidential information
  •  Ability to plan and organize work as well as maintain records

ENVIRONMENTAL CONDITIONS:

  •  Works in an office environment

ESSENTIAL PHYSICAL SKILLS:

  •  Regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. Occasionally required to stand, walk and stoop, kneel, crouch, or crawl.
  •  Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
  •  Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
