SUMMARY:
Womble Bond Dickinson (US) LLP, an AmLaw 100 firm, has an opening for a full-time Office Assistant in our Las Vegas office. We are looking for a warm, friendly, self-motivated, highly organized person who is a service oriented team player to join our team.
The ideal candidate will have experience in a law firm performing a range of administrative duties that include organizing, and maintaining legal files using Bates labeling; creating trial exhibit binders; performing document research; and saving legal files and related matters using document management software, NetDocs; front desk duties, including guest and visitor hospitality; and mailroom responsibilities, when needed. In addition, the incumbent will be detail-oriented and must maintain strict confidentiality of all firm matters. This position is a 40-hour-per-week position that requires in-office attendance and reports to the Office Manager.
RESPONSIBILITIES:
- Assist attorneys and support staff on various projects and events
- Responsible for sorting, organizing, and correctly downloading and profiling legal documents in electronic form
- New matter opening to include conflict checks and engagement letters
- Collecting documents for motion and trial binders
- Scan and upload documents to electronic format
- Time entry
- Provide backup receptionist coverage including answering phones, and greeting clients and visitors
- Assist with office functions to include setting up and maintaining cleanliness of conference rooms, kitchen/break room/common areas, place meal orders
- Assist the Support Services team with mailroom responsibilities
- Assist with special projects as required, and perform other duties as assigned
REQUIREMENTS:
- High School Diploma or equivalent
- 1-2 years law firm or professional service experience preferred.
- General office experience with good computer skills using MS Office products
- Good verbal and written communication skills
- Maintains a professional work relationship with timekeepers, managers, and staff
- Ability to maintain confidentiality of client sensitive matters
- Ability to lift a 40-pound banker’s filing box
- Demonstrated experience using Bates labeling or equivalent document management software
- Experience organizing, indexing, sorting, labeling, and filing of documents
- Demonstrated experience with accurately processing and entering data into database systems; experience with NetDocs is preferred
- Experience performing various administrative duties including, copying, scanning, corresponding with staff via email and by phone, responding to emails, and assisting attorneys and legal staff with administrative needs
- Experience with performing document research
- Demonstrated experience with preparing motion and trial exhibit binders
