Position Summary and Qualifications:

Under supervision of the Clinical Director of Student Health Services - University City (UC) campus, the Medical Assistant/Administrative Coordinator (MA/AC) has a unique role of performing both clinical functions and non-clinical departmental administrative support duties on a typical work day.

The MA/AC has the primary function of performing clinical functions necessary to prepare patients for their healthcare appointments such as vital signs, obtaining labs, chart preparation, and opening the medical record in the PyraMed EMR system. Additional clinical functions require more specialized knowledge and skills, such as phlebotomy, basic laboratory functions, processing specimens for lab analysis, assisting the providers during procedures, giving injections and placing PPDs.

The MA/AC also performs a variety of non-clinical tasks related to staff support, management of routine office clerical skills and assisting the Clinical Director with basic fiscal duties. Additional non-clerical responsibilities include: coordination of equipment maintenance contracts, facility maintenance schedules, medical and office inventory management, ordering and purchasing medical office supplies, basic recordkeeping, reviewing all incoming student health records for completeness and notification of students whose records are incomplete, accessing student data in university systems such as Banner and COGNOS, patient appointment scheduling via PyraMed, maintaining provider’s clinical schedules on PyraMed, gathering health information from databases, coordination of projects and Student Health initiatives; and other tasks as assigned by Clinical Director.

The MA/AC provides outstanding customer service to student clientele and strives to maintain the professional nature of the Student Health Services.

Essential Duties & Responsibilities

Clinical Responsibilities:

  • Performs clinical and support activities for the department and serves as a central point of liaison for new and returning student clientele/patients.

  • Serves as a custodian of medical records and provides physical and technical measures to safeguard patient information assuring the confidentiality, integrity and availability of protected health information in accordance with HIPAA Federal Regulations.

  • Oversees the prompt and courteous processing of student clientele/patients.

  • Registers patients via electronic health record system (EHR-PyraMed) as they present to the health service and schedule future appointments.

  • Stocks, cleans and disinfects the clinic exam rooms, lab, and common areas under direction of the Clinical Director and other healthcare providers.

  • Performs initial work-up of patients (vital signs, chief complaint and history of symptoms, initial lab specimens and those ordered by Clinical Director and other healthcare providers, and processes completed diagnostic testing.

  • Assists and chaperones for male and female genital/pelvic examinations or whenever requested by a patient or provider.

  • Obtains blood work and performs other office procedures such as urine dip, urine pregnancy, PPD placement, rapid strep and rapid mono tests, and COVID-19 testing. 

  • Obtains as directed, laboratory and diagnostic test results such as blood work, radiology and ultrasound reports, and prepares reports for Clinical Director’s or other healthcare provider’s review.

  • Scans all diagnostic testing reports and other medical information into the EHR-PyraMed

  • Packages specimens for pick up by the appropriate laboratory per patient’s health insurance.

  • Orders, receives, organizes and stores all medical supplies in designated areas.

  • Administers PPD injections for TB screening.  

  • Inputs data into EHR-PyraMed.

  • Conducts follow up calls and/or email with patients under direction of the Clinical Director and other healthcare providers.

  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the Student Health Service.

Administrative/Departmental Responsibilities:

  • Oversees and/or performs administrative and clerical activities for the department and serves as a central point of liaison for visitors, prospective students, current students, student’s families, faculty and staff.
