Job Title: Mechanical Service Coordinator
Rate: $32-$40 Hourly
Department: 125 Sacramento Mechanical Service (Not a Remote Position)
Summary: The Mechanical Service Coordinator is responsible for dispatch and coordination of mechanical service technicians, pre-billing of all mechanical service work orders and PM billings, Projects, PM’s, Service Orders, and quoted work set-up in ERP, parts and material ordering, timecards and payroll, and customer service data entry as required. In addition, the coordinator will work with the BAS Coordinator and Project Coordinator to cover each other’s shifts when necessary.
The responsibilities include, but are not limited to:
Customer Communication
- Serves as main point of contact for customers, addressing inquiries and concerns.
- Provide updates to customers on the status of their service requests and any changes to the schedule.
- liaison with customers, engineering, and technicians throughout contract administration on projects; assists in developing projects, scopes, and proposals.
- Provides input on performance of techs and meeting customer expectations and requirements.
Mechanical Service Billing
- Prebilling preparation for accounting
- Manage unique billing requirements of special customers.
- Research parts and material prices for billing.
- Research overdue service work order tags to be billed.
- Research billing issues/credits/rebills/customer requests.
- QA/QC billings before submission to accounting.
- Parts/Material Tracking & Ordering
- Mechanical Service timecards
Dispatching
- Receiving and processing service calls
- Generating work orders
- Scheduling of technicians (Service Orders & PM’s)
- Assign tasks to technicians based on their skill set, availability, and location.
- New site location generation (new form)
- Manage COINS and Outlook calendar.
- Confirm service calls a day ahead.
PM’s (Mechanical Preventive Maintenance)
- Procurement of material
- Scheduling
- Annual Renewals
Service Orders / Repairs
- Parts Procurement / confirmation of receipt of material
- Confirming that Subcontractors are scheduled (Cranes / Structural / etc.)
- Reviews work order reports for quality and timely completion.
Qualifications/skills and Knowledge Requirements:
- Knowledge of basic accounting and finance
- Excellent MS Office skills
- Knowledge of ERP+ accounting system a plus but not required.
- Ability to collaborate and work across departments.
- Ability to manage and prioritize multiple tasks.
