Manufacturing Administrator (2nd Shift) - Plant 10

 

This role provides administrative support to the 2nd shift manufacturing team, ensuring efficient execution of processes that align with the company’s processes and procedures.  This position primarily supports production supervisors by having responsibility for and streamlining administrative tasks, facilitating communication that align with business strategies, and enhancing coordination across functional areas.

  • Initiative - proactively identifies administrative bottlenecks, suggests improvements to streamline operations, and takes steps to address them.  Contributes to the development and implementation of standardized systems to enhance efficiency across the value stream.

  • Adaptability - thrives in a fast-moving and dynamic environment, quickly adjusts to new priorities.
  • Communication Liaison - acts as a central point of contact between operations and other functional teams (safety, quality, human resources, planning, engineering, etc.), ensuring clear communication of updates across teams.
  • Confidentiality - maintains discretion and protects sensitive information.

 

Job Responsibilities:

  • Ensures compliance with EHS standards in administrative processes.  Tracks training due dates for required employee safety certifications. Maintains and organizes documentation for audits and compliance checks.  Assists in organizing safety-related training.
  • Maintains qualification records for qualified operators and technicians – tracks hours for qualifications, updates tracking and training system with qualifications, alerts management in advance of certification expiration timing, keeps training matrix updated.
  • Collaborates with supervisors to maintain and meet compliance for overtime records by updating staffing lists/overtime rosters and meeting required record retention.  Provides daily overtime reports to operations/manufacturing managers. 
  • Maintains accurate and timely records for employee requests and communicates to Human Resources – performs administrative support to supervisors to coordinate vacation requests and maintain department calendar, shift preferences, transfer requests, and other time & attendance related activities.
  • Assists supervisor with new hire on-boarding – reviews and maintains shift placement, prepares new hire / new to the job materials, assigns new hire locker, and conducts plant tour.
  • Assists operations/manufacturing managers with KPI/metrics data reporting to ensure alignment with business objectives.  Maintains project documentation of efficiency improvement activities and provides administrative support to track progress of kaizen events, provides updates to ensure timely follow-ups. 
  • Provides support with tracking capital expenditure, expense reporting and reconciliation.
  • Coordinates scheduling for meetings, trainings and activities for operations/manufacturing managers and supervisors. 
  • Assists with draft communications – e.g., memos, toolbox talks, posting and updates management to ensure team alignment and promote a collaborative culture.
  • Enters work orders that get routed to maintenance for equipment repair.
  • Collects materials from on-site stores for supervisors. 

Basic Requirements:

  • High school diploma or GED from an accredited institution.
  • Minimum of two years general office, administrative, or staff assistant experience.<
