The Facilities Manager is responsible for office services operations of the firm and will establish best practices, ensure consistency, and efficient delivery of operational services. The ideal candidate will be a self-starter, organized, dependable, and able to work independently to drive assignments forward. This role reports to the Senior Manager, Office Administration and Legal Support Personnel and will work closely with the US Office Administration team.

Responsibilities include but are not limited to:

  • Develop and implement standardized processes and procedures for facility management to ensure consistency across all locations
  • Manage the facilities budget, including operating expenses, capital expenditures, and project costs
  • Monitor facility performance metrics and implement corrective actions as needed to improve efficiency and reduce costs
  • Create budgets, requests for proposals, and minimize costs related to office maintenance
  • Identify opportunities for cost savings and efficiency improvements without compromising quality or service levels
  • Conduct regular inspections and audits to identify potential hazards and address them proactively
  • Manage national parking and transportation approach
  • Collaborate with Office Administrators and Senior Leadership to assess space requirements and develop strategic plans for optimization of space layout and utilization including change management approach related to collaboration spaces
  • Collaborate with Office Administrators and Senior Leadership to coordinate office moves, expansions, and reconfigurations, ensuring minimal disruption to business operations
  • Liaison with IT and Office Administrators for implementation of workspace reservation application
  • Ensure compliance with all relevant health and safety regulations and standards across all facilities
  • Develop and implement emergency preparedness plans and procedures to ensure the safety and security of employees and visitors
  • Serve as a participant and key member of the Emergency Crisis and Preparedness Team
  • Assist with coordination of floor warden plans
  • Work with US Procurement to facilitate completion of vendor contracts
  • Collaborate with the US Sustainability and Social Impact team and Office Administration to facilitate the collection of pertinent data
  • Travel to other offices as needed

Skills and qualifications

  • Bachelor's Degree preferred
  • Minimum of 7 years of relevant experience, preferably in a law firm or other professional services environment
  • Proficient in Microsoft Office Suite, including PowerPoint and Excel
  • Excellent interpersonal skills with ability to build and maintain positive relationships with individuals at all levels across the firm
  • Excellent written/verbal communication skills
  • Demonstrates accountability; takes ownership and pride in work
  • Forward-planning skills, and ability to manage and prioritize own workload effectively
  • Organizational and problem-solving skills essential
  • Demonstrates good judgment, maintains personal integrity and high degree of confidentiality
  • Self-starter who is committed to the job, with flexibility to work outside of regular business hours, as needed
