Action seeks an experienced Manager Assistant to join our team at Woodside. The Manager Assistant provides comprehensive administrative and operational support to the General Manager, ensuring the smooth functioning of the association. This role involves coordinating various aspects of community management, including member services, architectural review, and accounting.
How You'll Make an Impact (Job Responsibilities):
- Administrative Support: Handle correspondence, answer phone calls, maintain calendars. Prepare and monitor non-compliance letters, hearing, and decision notices. Assist with meeting preparation, minute taking, and supply management.
- Architectural Review: Serve as a liaison between the General Manager and the Architectural Review Committee. Coordinate meetings, manage deposits, and oversee construction projects.
- Member Services: Address resident concerns, issue access devices, and assist new owners. Assist in supporting and supervising the front desk staff.
- Accounting: Process invoices, track receivables, and prepare delinquency reports.
- General Operations: Act as Manager on Duty in the General Manager’s absence, assist with daily interior and exterior inspections and assist with Action List items and other duties as assigned.
Required Skills / Abilities:
- High School diploma or equivalent. A college education is preferred.
- Minimum of 2 years of administrative experience. Property Management and/or hotel industry experience preferred.
- Minimum typing speed of 35 wpm
- Proficient in Microsoft Office Suite and capable of using Action property management software.
- Excellent verbal and written communication
- Strong organizational skills
- Ability to work independently and as part of a team.
