Maintenance Planner/Scheduler - JLL

The Maintenance Planner/Scheduler role is in support of the JLL Asset Management journey towards a World Class Maintenance organization. This industry standard role provides more efficient means of managing facilities maintenance and associated maintenance labor, freeing hours for additional business priorities. Planning & scheduling for all maintenance and operations encompassed in the CMMS tool are to be conducted using current CMMS system application and standardized business processes.
 

What this job involves

This role requires serving as a subject matter expert in facilities planning & scheduling while supporting JLL's transformation to a world-class maintenance organization. You'll be responsible for optimizing maintenance operations through strategic planning, scheduling, and coordination of all maintenance activities using CMMS systems and standardized business processes. The position involves managing multiple maintenance activities simultaneously while collaborating with diverse teams including subcontractors, technicians, and management to ensure successful outcomes and database integrity.
 

What your day-to-day will look like

  • Plan, schedule, coordinate and assign all frequency and work type maintenance activities for your assigned group or team
  • Facilitate and attend team passdown or operations meetings to communicate daily/weekly maintenance activity plans and schedules
  • Identify open, unscheduled and/or unassigned work by running prescribed work order queries in Assignment Manager
  • Collaborate with subcontractor counterparts to ensure successful outcomes for subcontractor responsibilities
  • Optimize maintenance inventory by balancing workload to labor availability
  • Manage asset maintenance parts ordering process (MRO) for assigned teams and optimize efforts through PM auto ordering where applicable
  • Create all asset-related purchase requisitions and arrange for special tools and equipment
  • Track all asset information, including spare parts, documentation, and booked labor
  • Maintain liaison with facilities technicians and other management regarding work execution, schedule alterations, and manpower status
  • Collect data and collaborate with operations team to optimize maintenance programs
  • Maintain maintenance record compliance through periodic data auditing
  • Provide weekly reports to facility managers, identify risks and gaps, and provide resolution plans
  • Submit and document database record changes using client CMMS change request system
  • Provide cross-site coverage and mentor junior employees
     

Required Qualifications

  • In-depth/subject matter expert level knowledge of facilities planning & scheduling
  • Strong organizational skills with ability to manage multiple maintenance activities simultaneously
  • Excellent oral and written communication skills with ability to interface with all levels of management and diverse customer base
  • Solid personal computer skills including Microsoft Office Products
  • Understanding of CMMS systems and ability to comply with client CMMS standards and specifications
  • Knowledge of maintenance inventory management and MRO processes
  • Commitment to safety for yourself and others
  • Leadership and interpersonal skills for managing multi-discipline team environments

Preferred Qualifications

  • Leadership experience including training, presentations, and teambuilding • Project management experience
  • Ability to create CMMS ad hoc reports and submit work requests for complex data reports
  • Advanced query writing and dashboard creation capabilities
  • Experience with continuous improvement processes and maintenance metrics analysis
  • Background in asset management and maintenance optimization
  • Experience mentoring and developing junior staff

Location: Onsite
Work Schedule: Monday-Friday 7a-330p
Compensation: $29-31/hr. - Depending on Experience
