Job Overview
Accurately define and estimate required components and resources to fulfill work requests, converting requests into orders. Order and monitor material delivery for maintenance work orders. Assign and schedule maintenance work orders with technicians and contractors to support repairs, preventative maintenance and projects. Maintain a consistent tracking system for work orders and parts inventory while compiling inventory information such as consumption rate, characteristics, value, and stock on hand to determine stock supply to support procurement for the purchase of maintenance supplies. The position collaborates closely with technicians, engineers, operations, and managers to establish component requirements to support the schedule of proactive maintenance activities while utilizing planning and scheduling methods to ensure the most effective and least disruptive maintenance possible. Typically uses a computerized maintenance management system (CMMS) for managing needs to complete work orders.
Key Responsibilities
Review, refine and convert maintenance work requests into work orders Works with requestor to understand scope and intent of requests Estimates effort, skills and cost required to complete the requests Obtains quotations from contractors as needed Escalates for request approval, as needed
Assign and Schedule maintenance work orders with technicians and contractors
- Identify and obtain parts for work orders
- Evaluate and assign work orders to technicians and contractors based on work requirements, resource abilities and resource availability.
- Collaborate with maintenance manager, supervisor, and other planners to schedule work
- Schedule contractors to support work orders
- Communicate work order details to technicians ensuring understanding and alignment between the technicians/contractors and the requestor.
Develop and maintain detailed plans for preventative maintenance and predictive maintenance of equipment
- Use manufacture recommendations, repair history and technician input to determine preventative maintenance tasks and schedules
- Document PM tasks details and schedule in CMMS system
- Schedule and assign PM work
Lead maintenance scheduling process
- Generate maintenance schedule
- Lead maintenance schedule review process with maintenance and support team
- Communication maintenance schedule and assigned work to technicians, maintenance support team and requestors
- Manage and replan schedule changes, as needed
Manage execution of vendor service contracts (forklifts, air handling, air compressors, chillers, fire protection/security, crane maintenance, overhead doors, etc.)
- Create and manage work orders for vendor provided service contracts
- Schedule repairs/preventative maintenance
- Monitor part usage for vendor repairs
- Monitor PM completion in comparison to contractual agreements
- Use Company credit cards for vendors/contractors not in current purchasing system.
- Purchases on credit cards will need approval following purchasing approval limits.
- Reconcile end of month credit card purchases
Administer maintenance purchase request.
- Review maintenance requests and work orders for parts/service purchases
- Review purchase requests for correct information and quantities/ date needed by
- Send purchase requests to Procurement (Coupa Group)
- Track and communicate order status to affected team members
Coordinate company janitorial and facility services.
Coordinate outside service inspection and repairs.
Research products and services for new and existing equipment installation and repair.
Be available during maintenance annual outages to support urgent needs
Able and willing to work as a confined space observer for technicians as requested by Maintenance Manager
Back up other maintenance personnel on select duties as assigned by maintenance manager
Required Skills and Qualifications
- Education and/or Eperience
- Bachelor's degree in a relevant field (e.g., Engineering, Maintenance Management, or a related discipline) or an equivalent combination of education and relevant experience.
- Preferred Certified Maintenance & Reliability Professional (CMRP) Certification.
- Skills
- Excellent verbal and written communication skills
- Strong computer skills. Need proficiency in Microsoft Office, especially Word, Excel, and Outlook, and keyboarding skills.
