Job Description
Our stunning Cottonwood Creek community in Salt Lake City, UT is hiring a Lead Concierge to join our incredible team of Senior Living Warriors!Part-Time - Sunday through Tuesday - 2:00 PM to 7:00 PM
Job Summary: The primary purpose of the Lead Concierge is to manage the Concierge position and ensure that all visitors receive a warm, professional welcome to the community and that all clerical support duties are completed in an efficient, professional and friendly manner in accordance with established procedures while demonstrating the Principles and Core Values of MBK.
The Lead Concierge is responsible for training and directing the work of the Concierges and ensures the following administrative duties are handled either by delegating these duties to qualified Concierges or personally completing tasks such as: greeting visitors, answering phones, relaying messages, and assisting department heads and Executive Director in a variety of clerical/administrative work.
The Lead Concierge may often be a customers’ first contact with the community. Therefore, it is vitally important that the Lead Concierge always provides excellent customer service and enthusiastically promotes the positive image of the community through behavior and teamwork
Essential Job Duties:
- Maintain a neat and professional appearance ensuring front entrance, lobby and reception areas remain organized and clean
- Ensure that all community visitors are welcomed warmly and offered assistance
- Answer telephones within 3 rings always using a professional and courteous voice following the appropriate/designated script (ex. “Good morning/afternoon, thank you for calling “community name”. This is “your name”, how may I help you today?”)
- Determine nature of calls and direct callers to the appropriate individuals or department
- Assist with all clerical and administrative duties as directed by Executive Director or designee
- Greet, monitor and screen all visitors, requesting them to sign log book as they enter and leave the community – reporting any suspicious persons or activity immediately to a supervisor
- Sort and distribute incoming mail and assist with posting/sending outgoing mail
- Accept and report residents’ special requests, place wake up calls and assist residents in setting and attending appointments
- Ensure that coffee and/or refreshments are fresh, readily available and offered to guests
- Accept payments of monthly services
- Ensure administrative supplies have been replenished in work areas and order supplies as necessary
- Report equipment malfunctions or breakdowns to supervisor and request repairs
- Follow all established safety standards when operating office equipment
- Support Department Heads in administrative functions (typing, copying, placing orders)
- Schedule tray service for residents and use of the private dining room as necessary
- Assist with activities and special events when requested
- Display tact and friendliness when dealing with resid
