Under the direction of the Audiology Business Manager, the Lead Audiology Secretary is responsible for the operational oversight of the Audiology Secretary Pool, further referred to as the “Pool,” and the provision of support services to the hearing healthcare professionals. 


DUTIES & RESPONSIBILITIES:

  • Oversee and provide training to all new hires on the policies and procedures relating to audiology appointments and hearing services.
  • Accomplishes organizational goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments; continuously identifying opportunities for improvement and facilitating growth.
  • Ensures that the Pool has resources required for success and communicates needs to the Audiology Business Manager as they arise. 
  • Manages and reviews accuracy of timecards and paid time off requests for direct reports, ensuring appropriate staffing.
  • Conducts verbal and written communication with patients via the patient portal and telephone, and in-person with professionalism and respect.
  • Assists patients with concerns or feedback, directing patients to the Patient Feedback Form or supervisor as appropriate.
  • Schedules appointments with either the Audiologist or Hearing Instrument Specialist, as appropriate.
  • Educates patients on insurance benefits and hearing aid access, as appropriate.
  • Works collaboratively with the pool to ensure the completion of all tasks
  • Ensures all outside testing orders are received and appropriately documented prior to the start of the appointment time.
  • Documents all patient and pertinent patient-related communications in the electronic medical record.
  • Collects payments from patients, as appropriate.

Requirements

  • High school diploma or equivalent, 1-3 years of experience in a medical environment, or an equivalent combination of experience and education is required. 
  • Demonstrated leadership in previous positions. 
  • Proficient computer skills including ability to master the office’s practice management software. 
  • Consistent professional conduct, meticulous attention to detail, and critical thinking skills and a positive attitude are essential. 
  • Excellent written and verbal communication skills required as well as interpersonal skills with patients, staff, and other healthcare professionals.
  • Maintenance of organization within workspaces, effective time management, ability to work independently, multi-task, and prioritize.

COMPENSATION: The compensation range for this position is $24 to $26/hour. Actual compensation within that range will be dependent upon the individual’s skills, education, experience, and qualifications.
