The Justice Administrative Commission (JAC) administratively serves 49 judicial-related offices (JROs) including the 20 Offices of State Attorney, 20 Offices of Public Defender, 5 Offices of Criminal Conflict and Civil Regional Counsel, 3 Offices of Capital Collateral Regional Counsel, and the Statewide Guardian ad Litem Program. Services provided are primarily in the areas of accounting, budget, financial services, and human resources. JAC also performs compliance and financial review of court-appointed attorney and due process vendor bills. JAC’s Vision is to be the model of exemplary state government, and our Mission is to support the entities we serve and Florida’s judicial system with fiscal controls, best practices, and exemplary service.

 

Although JAC is a state agency, it is not part of the State Personnel System. However, JAC is a member of the Florida Retirement System and participates in the State Group Insurance Plan.

The Work You Will Do:

 

JAC is seeking a candidate to serve as an Administrative Assistant. This position is located in the Operations Section of JAC and reports to the Director of Operations. The person in this position works closely with staff from JAC as well as staff from the agencies we administratively serve.

Duties of this position include, but are not limited to:

 

  • Serves as the Receptionist for JAC answering incoming calls, greeting and screening visitors, and receiving deliveries. This includes answering and routing calls to the proper section or individual and assisting callers when they are unsure of who they need to speak to as well as greeting visitors in a professional and courteous manner, adhering to established procedures. For deliveries, this includes accepting and signing for deliveries after verifying the number of packages being signed for along with the staff name(s) and the address. Then notifying the appropriate Operations staff of the delivery.
  • Answers routine non-technical questions regarding the JAC, its address and phone numbers, its functions (e.g., process payments for Court-Appointed Attorneys and Due Process Providers, administratively serve the 49 JROs).
  • Refers inquiries to other state agencies (e.g., Department of Financial Services, Department of Management Services, the Judicial Qualifications Commission) as appropriate. 
  • Trains backup receptionists. 
  • Prepares to route calls for hearings attended by JAC Attorneys by reviewing the Hearings Calendar on a daily basis. 
  • Maintains the Reception Area in a neat and orderly manner.
  • Sorts and distributes incoming faxes received via email, which involves the determination of the section or individual to whom the fax is addressed or should be addressed based on the content of the fax and forwarding it to the correct mailbox.
  • Serves as a vendor add liaison for JAC and the JROs adhering to the DFS Statewide Vendor File Reference Guide and best practices as defined by JAC.
  • Conduct the annual physical inventory for all of JAC’s property items
  • Assists other JAC sections with clerical duties as requested.
  • Other duties as assigned.

The candidate selected to fill this position will play an important role in helping the agency achieve its mission by helping to ensure that the agencies calls are answered and routed correctly, vendors are added accurately and in a timely manner to the State’s financial system (FLAIR) on behalf of JAC and the JROs and assisting other sections within JAC.
