Role Summary
 

As a Junior Executive Assistant, you'll be immersed in a fast-paced setting where every day presents new challenges.

 

Responsibilities

  • Coordinate and schedule meetings, appointments, and travel arrangements, including logistics and accommodations
  • Handle incoming calls, inquiries, and requests, redirecting them as necessary and ensuring prompt resolution
  • Act as a liaison between the Executive Assistant and internal/external stakeholders, maintaining professional communication and confidentiality
  • Provide administrative support for special projects and initiatives
  • Maintain an organized and efficient office environment, including filing systems, supplies management, and office upkeep
  • Provide backup support to executive office team across scheduling and day-to-day operations including running errands as needed
  • Prepare and edit documents, reports, and presentations as required, ensuring accuracy and adherence to company standards.
  • Handle confidential information with discretion and integrity, maintaining the highest level of professionalism at all times
  • Collaborate with various internal and external teams to ensure smooth daily running of the principal’s personal and professional life

Qualifications

  • Minimum of 1-2 years as an administrative assistant or similar role
  • High school diploma required; additional certifications are advantageous
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively
  • Strong attention to detail and accuracy in handling administrative tasks, including managing calendars, emails, and documents
  • Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels
  • Must be a team player and have a “no task is too big or too small,” attitude while wearing multiple hats
  • Must be able to pass an in-depth background check and provide excellent references
  • Must have a valid driver’s license and reliable transportation
  • Ability to maintain confidentiality and exercise sound judgment in all interactions
  • Humble, hardworking, sincere, coachable and a desire to continue to grow
  • Strong problem-solving skills with a proactive and solution-oriented approach and ability to meet deadlines under pressure
  • Must be comfortable working in a fast-paced and ever-changing environment, with the flexibility to adapt to evolving priorities and schedules including working outside of standard business hours as needed
  • Familiarity with standard office equipment and applications
