About the role

Description:

The Fourth Judicial District Court Facilities Division seeks qualified applicants for a Facilities Coordinator to support maintenance operations, physical office moves, project logistics, and workspace support for judges, staff, jurors, and court customers. This is a highly hands-on, independent, and customer-facing role that requires strong communication skills, attention to detail, and initiative.

This AFSCME-represented position is classified as a Staff Generalist I, with a working title of Facilities Coordinator, is assigned to the Facilities Division in court administration, and is located at the Hennepin County Government Center (300 S. 6th Street, Minneapolis, MN), with tasks conducted at other District Court buildings as required. Typical hours are Monday through Friday, 8:00 AM – 4:30 PM, with occasional variations based on business needs. This position is required to work primarily onsite. 

Example of Duties:

Facilities & Logistics Support

  • Coordinate and perform all aspects of office moves, including scheduling, communication, physical setup, and moving furniture in/out of storage
  • Track and manage inventory for furniture, supplies, and historical materials (e.g., the court history museum collection)
  • Receive shipments and coordinate deliveries with vendors and internal partners
  • Support logistical aspects of district-wide remodeling projects and high-volume staff transitions

Maintenance & Operations

  • Manage facility service requests; coordinate minor repairs and maintenance with Hennepin County Facilities (e.g., electrical, plumbing, janitorial)
  • Maintain clean, functional public and staff spaces across six courthouses, including 91 courtrooms, offices, and conference rooms

Customer Service & Communication

  • Provide exceptional service to judges, judicial staff, employees, and court customers on logistics, workspace changes, and facilities concerns
  • Anticipate and proactively communicate disruptions (e.g., water shutoffs, construction noise) to affected stakeholders
  • Serve as a resource for all court staff by answering questions, clarifying policies, and escalating issues as needed

Administrative & Financial Support

  • Process purchases up to $1,000, from purchase order through fulfillment
  • Manage and route invoices for maintenance, office moves, and vendor services
  • Provide backup coverage to Office Assistant III positions at the front desk as needed

Team & Project Participation

  • Participate in team meetings, internal projects (e.g., inventory reduction, process improvement), and facilities initiatives
  • Collaborate with internal and external stakeholders, including IT, the Court Reporter Unit, Scheduling, County Facilities, and vendors. 

 

Typical Qualifications

Minimum Education and Experience

  • High School diploma or equivalent
  • Experience in a customer service field or other fast paced, high service environment

Minimum Knowledge, Skills and Abilities:

  • Ability to communicate clearly and professionally, both verbally and in writing, including explaining policies and procedures to judges, staff, and external vendors
  • Ability to navigate from building to building in the district to assess issues, connect with staff, and coordinate regular meetings with division leaders. 
  • Knowledge and ability to use Microsoft Office Suite (or equivalent applications) to manage documentation, communication, and tracking tasks
  • Ability to follow established processes and procedures with accuracy and attention to detail
  • Skilled in coordinating and tracking information from multiple sources, prioritizing tasks effectively in a fast-paced, interruption-heavy environment
  • Demonstrated ability to be reliable, accountable, and exercise sound judgment in daily responsibilities
  • Ability to perform physical tasks essential to the role, including lifting and carrying up to 50 pounds, bending, crawling, pushing, and pulling carts or equipment

Preferred Qualifications:

  • Familiarity with Fourth Judicial District Facilities Division policies, procedures, and operations
  • Experience coordinating with external vendors such as movers, supply companies, and maintenance contractors 
  • Proven ability to build and maintain positive working relationships across diverse roles and industries, including government, legal, and service sectors

Supplemental Information:

The expected starting salary for external candidates is $25.50 - $29.57 per hour, $53,244- $61,7
