About Us
The IRB Program Coordinator provides high-level professional and administrative support to the Executive Director and the Office of Human Research Affairs (OHRA). This role is responsible for independently managing departmental operations, coordinating compliance-related activities, and serving as a strategic liaison across internal and external stakeholders. The position requires the consistent exercise of discretion and independent judgment in matters of significance to the department’s mission and operations.
POSITION RESPONSIBILITIES
Executive and Departmental Support- Serve as the primary administrative partner to the Executive Director, managing complex scheduling, communications, and departmental priorities.
- Act as the central point of contact for all general inquiries to OHRA, ensuring timely and accurate responses via phone and email.
- Oversee all departmental facilities, IT, telecom, engineering, and procurement needs, including vendor coordination, invoice processing, and reimbursement workflows.
- Lead onboarding and offboarding processes for departmental staff, including workspace setup, equipment provisioning, and systems access.
- Independently manage the monthly OHRA staff meeting, including agenda development, guest speaker coordination, training material review, and logistical execution.
- Coordinate high-level meetings and events, including room bookings, catering, IT setup, and post-event follow-up.
- Serve as a member of the Einstein Institutional Review Board, and independently review and approve submissions to the IRB, including key personnel changes and minor amendments.
- Maintain and update research education and IRB calendars to ensure compliance with institutional policy and federal requirements.
- Support departmental leadership in budget preparation, monitoring, and reconciliation.
- Manage vendor payments and expense submissions in accordance with institutional policies.
QUALIFICATIONS
- Bachelor’s Degree with 2-4 year of related experience in administrative operations;
- Experience within higher education or biomedical research preferred.
- Excellent organizational, communication, critical thinking, and customer service skills.
- Demonstrated ability to exercise independent judgment, integrity and maintain confidentiality.
- Excellent attention to detail.
- Familiarity with Microsoft Office (Word, Outlook, Excel, PowerPoint).
- Ability to adapt to custom web-based software programs.
