The Children’s Services Department (CSD), which includes the Home Study and Post Release Services (HSPRS) Program, is driven by a mission that promotes the safety and well-being of unaccompanied children as they reunify with their families across the United States. The Children’s Services Department launched inaugural programming to serve unaccompanied children in 2021. In 2025, in partnership with the Office of Refugee Resettlement (ORR), CWS provides home study and post release services throughout the United States.

This is a temporary position for approximately three (3) months. The assignment may end early or be extended predicated on program needs.

Purpose

The Case Acceptance and Program Coordinator supports the Director, HSPRS and a team of direct services staff with case acceptance and administrative functions.  This position is an integral team member supporting CWS to meet annual case acceptance goals.

 

The positions primary responsibility is to accept Home Study and Post Release Service cases from the U.S. Government database and assign referrals to direct service staff and management across CWS’ HSPRS Network. Case Acceptance includes internal and external case transfers. This role is also responsible to complete administrative functions that range from data entry and data tracking in CWS and U.S. databases, tracking key sets of data, contributing data for reports and compliance activities. 

 

In addition to close collaboration with the direct services team, the Associate will work in close collaboration with the HSPRS Deputy Director, Monitoring and Evaluation to contribute to quality assurance activities which include contacting clients about their service delivery experience.

Responsibilities

Case Acceptance and Data Activities:

 

  • Maintain up-to-date knowledge of ORR’s referral trends, priorities and requirements and CWS’ HSPRS network capacity and geographic priorities. Applies this knowledge when accepting, assigning and transferring cases.  
  • Remains nimble to shifting priorities and urgent requests from ORR and CWS.
  • Maintains up-to-date knowledge on CWS and ORR guidelines and criteria and adapts quickly to changes in policy.
  • Completes daily case acceptance activities.
  • Enters all case acceptance activities and supporting documentation are entered in to the database, setting the receiving direct service staff member up for success with a digital case file.
  • Tracks case acceptance and transfers.
  • Completes daily case reconciliation activities.
  • Monitors CWS HSPRS centralized email account and responds timely according to operating procedures.
  • Assists direct services team mitigating challenges to case acceptance and transfers as they arise.
  • Maintains high level of proficiency in accessing data in CWS and U.S. Government databases- nimbly running data reports and contributing to compiling data for internal and external purposes.
  • Uploads confidential documents as assigned.

 

 

Monitoring and Evaluation:

 

  • Contacts clients through phone, email or survey to receive input on service delivery.
  • Responds to findings that arise in data quality reports to ensure CWS databased is a reliable and accurate source of information.

 

Communication: 

  • Daily engagement with geographically dispersed direct services team regarding case acceptance and transfers
  • Represents CWS externally with ORR staff and ORR HSPRS Grantees

 

Other:

  • Participates in relevant team meetings and individual supervision
  • Serves as a mandated reporter and ensure reporting of suspected abuse or neglect in accordance with CWS’ and ORR policies.
  • Other duties as assigned
