POSITION OVERVIEW
The HR Shared Services Generalist — Tier I serves as the first point of contact for employee and manager inquiries across a broad range of HR topics, delivering timely, accurate, and service-excellence-driven support to employees across the organization. Operating within a centralized HR Shared Services model, this role is responsible for resolving Tier I inquiries, processing HR transactions, and triaging more complex matters to the appropriate HR teams or subject matter experts.
This role plays a critical part in creating a positive employee experience by providing consistent, knowledgeable, and empathetic support — serving as the face of HR Shared Services for the employee population.
KEY RESPONSIBILITIES
Employee Support & Inquiry Resolution
- Serve as the primary point of contact for incoming HR inquiries via phone, email, chat, and case management system, providing prompt and accurate responses.
- Resolve Tier I employee and manager questions related to HR policies, procedures, benefits, payroll, leave of absence, onboarding, offboarding, and general HR programs.
- Triage and escalate complex, sensitive, or unresolved inquiries to Tier II specialists or HR Business Partners in accordance with established protocols.
- Maintain a high standard of customer service, ensuring a positive and professional experience for every employee interaction.
HR Transaction Processing
- Process HR transactions and data updates in the HRIS (e.g., new hire setup, job changes, terminations, name/address changes, status updates) with a high degree of accuracy.
- Audit and validate HR data to ensure data integrity and compliance with company standards.
- Support the processing of employment verifications, unemployment claims, and other routine HR documentation requests.
- Assist with onboarding activities including offer letter generation, background check coordination, and new hire orientation logistics.
Case Management & Documentation
- Log, track, and manage all employee inquiries and transactions within the HR case management system, ensuring timely closure and accurate documentation.
- Maintain detailed case notes and follow up proactively with employees and managers to confirm issue resolution.
- Identify and escalate recurring trends or process gaps to leadership to support continuous improvement efforts.
Policy & Compliance Support
- Provide guidance on HR policies and procedures, directing employees to appropriate resources such as the employee handbook, HR portals, or knowledge base articles.
- Support compliance with federal, state, and local employment laws, including proper documentation and record-keeping practices.
- Assist with I-9 verification processes and ensure compliance with employment eligibility requirements.
Cross-Functional Collaboration
- Partner with Payroll, Benefits, Talent Acquisition, and HR Business Partners to ensure seamless service delivery and resolution of employee issues.
- Collaborate with Tier II and other team members to facilitate knowledge transfer and continuous learning.
- Contribute to HR projects, process improvement initiatives, and the development or updating of knowledge base articles and FAQs.
QUALIFICATIONS
Minimum Requirements
- High School Diploma
- 3+ years of experience in an HR, customer service, or shared services environment; equivalent transferable experience will be considered.
- Bachelor's degree in Human Resources, Business Administration, or a related field is preferred.
Experience
- Academic Associate or Bachelor's degree in Human Resources, Business Administration, or a related field is preferred.
