Position Summary
The Payroll & Benefits Coordinator / Office Administrator is responsible for ensuring accurate and timely payroll processing, supporting employee benefits and programs, and providing general office administrative support. This role requires strong attention to detail, confidentiality, and the ability to balance multiple responsibilities while supporting employees and organizational operations.
Key Responsibilities
- Payroll
- Process weekly and bi-weekly payroll accurately and on time, including wage adjustments, overtime, deductions, and special pay items.
- Maintain payroll records, ensuring compliance with federal, state, and local regulations.
- Prepare and reconcile payroll reports for accounting and auditing purposes.
- Serve as the primary contact for employee payroll inquiries.
- Benefits Support
- Support the administration of employee benefits programs, including health, dental, vision, retirement plans, and leave of absence.
- Assist employees with benefit enrollment, changes, and questions.
- Coordinate with benefit providers to resolve issues and ensure smooth operations.
- Maintain accurate benefits records and ensure compliance with plan requirements and regulations.
- Execute employee wellness programming initiatives.
Office Administration
- Provide administrative support to the office, including managing supplies, coordinating vendor services, and maintaining a clean and efficient work environment.
- Support new hire onboarding with payroll, benefits, and administrative setup.
- Assist in planning company events, meetings, and employee engagement activities.
- Serve as a point of contact for office-related inquiries.
Qualifications
- Associate’s or Bachelor’s degree in Business, Human Resources, Accounting, or related field (preferred).
- 2+ years of experience in payroll, benefits administration, or HR support.
- Working knowledge of payroll systems (e.g., ADP, Paycom, Paylocity, UKG Pro or similar).
- Familiarity with HRIS and benefits administration platforms.
- Strong organizational, time management, and problem-solving skills.
- Excellent communication skills with a high level of professionalism and confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
