Summary
As part of the HR Shared Services Team, the HR Assistant will carry out a variety of administrative level functions within the HRSS department supporting unemployment, system updates, reporting, verification of employment and other administrative tasks.

 

Duties and Responsibilities

  • Perform daily, monthly, and quarterly reporting of HR-related information for various departments
  • Upload, retrieve and maintain electronic personnel files 
  • Perform data entry in HRIS system from new hire paperwork entries when onboarding is complete
  • Identify new hires who will need a state wage notice, then prepare, send, track return of the document with signature, and upload to electronic personnel file
  • Assist with following up with employees on aging onboarding assignments
  • Send monthly birthday emails
  • Coordinate the random drug screening program, to include data entry, communicate with managers and track completion
  • Prepare and send weekly reports to the HR team and I-9s reps when I-9 is incomplete and close to due date, ensuring compliance and escalating when needed
  • Manage unemployment cases and wage audits in ADP, gathering information needed from HR Business Partners to ensure timely and accurate responses
  • Coordinate and participate in unemployment hearings with HR Business Partners
  • Research employment records from various sources and process verification of employment requests
  • Receive tickets in the helpdesk and provide detailed, timely responses and information
  • Train on and be the backup for the security badge system for the Iselin, NJ office
  • Perform various data entry transactions in HRIS system when requested from HR Business Partners
  • Support other HR areas and special projects as needed

 

Required Educational Background and Work Experience

  • Associate’s degree in human resources, or two years’ experience working in the Human Resource field required. 
  • Prefer HR Shared Services team experience.

 

Required Skills and Competencies

  • Intermediate mathematical skills
  • Strong proficiency in basic MS Office applications, with intermediate Excel skills required
  • Must 100% support and provide the best customer service experience (internally and externally) 
  • Must have excellent organizational and time management skills
  • Possess an enthusiastic and positive attitude towards learning and growing a career in the HR field 
  • Able to multi-task across multiple projects with varying deadlines
  • Attention to detail and ability to establish priorities and meet deadlines
  • Good to excellent spelling, grammar and written communication skills
  • Ability to maintain a high level of confidentiality
  • Ability to quickly learn the business, company culture and strategy
  • Must be able to work with ambiguity, cope with change, and be adaptable to shifting priorities

 

Preferred Skills and Competencies

  • Advanced Excel skills
  • Experience using HRIS systems (SAP Success Factors or ADP WorkforceNow a plus)

 

Language Skills Required

  • English (reading, writing, and verbal)

 

Physical Demands
Work is generally sedentary, with no specific need for physical coordination or effort.  May require physical effort associated with using the computer to access information, or occasional standing, walking, lifting needed to carry out everyday activities.  Hours can be extensive as well as occasionally staggered given any special projects that are time sensitive.  While performing the duties of this job, the employee uses his/her hands to finger, handle or feel objects, tools or controls; reach with hands and arms; stoop, kneel, or crouch; talk or hear.  The employee uses computer and telephone equipment.  Specific vision requirements of this job include close vision and distance vision.  Minimal travel
