DESCRIPTION:
The Group Sales & Student Matinee Coordinator plays a key role in supporting the strategy for group sales and student matinees at the Alliance Theatre. This position involves collaborating with various departments to drive group ticket sales, providing exceptional customer service to group clients, and coordinating the Theatre for Young Audiences and Bernhardt Theatre for the Very Young student matinee programs. This role is also responsible for providing customer service to drama camp and education families during the summer. The coordinator will report to the Group Sales & Student Matinee Manager and work closely with the team to achieve revenue goals and optimize performance schedules.
RESPONSIBILITIES:
Group Sales Support:
● Assist in developing and executing comprehensive strategies to drive group ticket sales and revenue for the Alliance Theatre.
● Cultivate and maintain relationships with local businesses, community organizations, senior homes, tour operators, and other potential group clients.
● Collaborate with the Marketing and Engagement teams to create compelling group sales collateral, promotional materials, web content, and customized packages to attract diverse group audiences.
● Participate actively in events, festivals, and community outreach programs to promote the Alliance Theatre's group sales opportunities.
● Coordinate with the Education department to book their group needs, such as summer camps, Teen Audience Fusion, and grant-funded programs.
Client Relationship Management:
● Assist in serving as the primary point of contact for key group clients, responding to inquiries promptly and providing accurate information about show schedules, pricing, availability, seating, and special accommodations.
● Collaborate with the Patron Services team to ensure seamless ticketing and seating arrangements for group bookings.
● Help in maintaining a customer database, including contact information, preferences, and purchase history, to facilitate effective communication and targeted marketing efforts.
● Coordinate and support special experiences for select groups, such as backstage tours.
Student Matinee Program Support:
● Assist in coordinating Theatre for Young Audiences and Bernhardt Theatre for the Very Young student matinee performances and tours, including scheduling, reservations, payment, logistics, and maintaining waitlists.
● Collaborate with local schools, educators, and administrators to promote student matinee opportunities.
● Assist in communicating pre- and post-show educational materials, workshops, and discussions to educators to enhance the students' theater experience.
● Be present for TYA and TVY school day performances and assist with greeting buses, directing educators, and supporting house management with seating.
Camp Customer Support:
● Respond promptly and professionally to inbound phone calls and emails from camp and education families.
● Provide exceptional customer service to camp and education families, addressing questions and concerns in a timely and effective manner.
● Communicate effectively with camp and education staff, teaching artists, and parents regarding student absences, early dismissals, carpool changes, and other day-to-day camper issues.
