Continental Services is looking for:A high-level, experienced Executive Assistant (EA) to join the Refreshments team in Van Buren, MI. The EA will have achieved success when the SVP, Refreshment Services Group (RSG) and other senior leaders on the team are able to focus their time, effort, and energy on the main objectives that drive business results. The EA is responsible for tracking progress on these items and providing regular support in the achievement of those objectives. The position will be based in our Van Buren, MI Office, and report to the Regional Vice Presidents of the RSG team.
WHAT YOU'LL DO:
While repetitive tasks can certainly be part of what this position will do, the tasks assigned can vary from week to week based on the needs of the executives. The EA needs to be someone who is flexible and can handle a variety of projects. The following tasks are a sampling of what is typically required on a regular basis: · Communication and Email Management: Maintain open and timely communication with team members. Actively pursue conversations via email, phone, and/or in person to achieve goals and objectives. Relay information and provide clarity and direction to individuals as needed. Defer questions outside of scope to senior leaders and facilitate timely turn-around on pending questions. Honor confidentiality as required within the position.· Complex Calendar Management and Scheduling: Maintain calendars for the assigned leadership team. Assist in the preparation and gathering of data for these meetings, compiling agendas and distributing action items prior to each meeting. Perform necessary follow-up post meeting, keeping track of items to be updated from meeting-to-meeting.
· Research and Documentation: Assist senior leaders in the collection and consolidation of action plans and progress reports for outstanding projects. Maintain and distribute agendas, plans and notes so productive meetings and performance reviews can be conducted.
· Project Management: Oversee key elements of project coordination, research, and documentation. Be an active participant on key projects, as well as, coordinate completion in line with goals, budgets, and objectives.
WHO YOU ARE:
- Education: Associates or Bachelor’s Degree Business Administration or Hospitality Management preferred. Prior experience will be considered.
- Knowledge and/or Professional Experience Preferred in the Following:
- Supporting C-Level Executives in an administrative capacity
- Successfully working in an office environment
- Successfully working with Executives while displaying distraction and confidentiality
- Extensive calendar management
- Travel booking
- Event planning
- Customer Service
