Description

Position / Title:  Clerk III

 

Position Summary

Compiles and maintains material and parts inventory and status information to expedite movement of material and parts within the hospital by performing the following duties. Requests, receives, stocks inventory and issues all property associated with maintenance and repair, and assists with administrative/clerical functions in the office. This position requires strong organizational skills, attention to detail, and the ability to work independently while also contributing to a team environment. The Lead will be responsible for ensuring the efficient flow of office operations and the accurate completion of tasks, often handling sensitive information with discretion.

 

Responsibilities:

  • Provide guidance, training, and support to other General Clerks (I & II) on established procedures, software usage, and task completion.
  • Distribute work assignments among the clerical team and monitor progress to ensure deadlines are met.
  • Serve as a primary point of contact for routine inquiries from staff, clients, or the public, escalating complex issues to management as needed.
  • Assist in the onboarding of new clerical staff.
  • Performs routine and varied clerical duties in accordance with standard procedures.
  • Performs activities such as photocopying, scanning, compiling records, filing, tabulating, posting information, and scheduling appointments. 
  • Writes, types, or enters information into computer to prepare correspondence.
  • Prepares and issues receipts, bills, policies, invoices, statements, and checks. 
  • Maintains records, prepares forms, verifies information, and resolves routine problems.
  • Conducts research when necessary.
  • Operates various office machines.
  • Opens and routes incoming mail, answers correspondence, and prepares outgoing mail.
  • Answers telephone, conveys messages, and runs errands.
  • May receive, count, and deposit cash, as needed.
  • Complies with all company safety and risk management policies and procedures.
  • Reports all accidents and injuries in a timely manner.
  • Participates in regular safety meetings, safety training and hazard assessments.
  • Maintain, track and file all purchases using standard methodology
  • Ensure optimal requisition process, to include taking advantage of available delivery options, phone and online ordering, and optimizing resupply efforts
  • Ensure that no critical work order is delayed due to any item within your control
  • Maintain current online parts library, ensure that the online inventory matches physical inventory through the DMLSS system
  • Maintain tracking and return of non-conforming parts
  • Proactively engage Supply Vendors for competitive pricing.
  • Maintain MSDS system
  • Maintain equipment calibration log
  • Maintain vendor and subcontractor evaluation log
  • Maintains general cleanliness and appearance of self and of assigned spaces, assist others as part of the maintenance team as required and performs other duties as assigned.
  • Must have the willingness and ability to learn new techniques and skills to improve efficiency, achieve certifications as directed and assist as necessary in keeping us a leading-edge service provider.
  • Must have the drive to get things done and the ability to interact professionally and courteously with government officials, staff, patients and fellow co-workers
  • Serves as a lead unit clerk performing more advanced, non-routine varied clerical duties in accordance with standard procedures.

Education and/or Experience:

  • High school diploma or general education degree (GED)
  • Minimum of 3-5 years of progressively responsible experience in a general clerical or administrative role. Prior experience in a lead or supervisory capacity is highly desirable.
  • Bachelor’s or associate degree in business or management preferred
  • Minimum 12 months experience in specific industry
  • Advanced supervisory experience a plus
