We care for one another, find new ideas to accelerate medicine, and seed a long-term impact for generations.  Position Overview Care Access is seeking a hands-on, strategic Fleet Manager to lead the maintenance, operations, and innovation of our national fleet of mobile clinical research vehicles. This fleet includes over 50 custom retrofitted ambulances, trailers, and mobile units that serve as critical infrastructure in decentralized clinical trials. 
The primary function of this role is to manage the full lifecycle of the mobile fleet—from preventive maintenance and equipment upgrades to deployment logistics and compliance oversight. A secondary, but essential, responsibility is to support the broader logistics function, including partnership with the Logistics Manager to ensure site readiness, deployment execution, and coordinated operations at the ground level. This role requires strong technical acumen, field service leadership, and the ability to operate in fast-paced, high-impact environments. The Fleet Manager will collaborate with logistics, clinical operations, and procurement stakeholders to drive operational readiness and enable scalable, safe, and efficient mobile trial delivery across the country. 

What You'll Be Working On (Duties include but are not limited to):

• Primary Duties and Essential Functions: 
• Oversee fleet health, service schedules, and compliance documentation 
• Manage retrofitting projects and coordinate external vendors 
• Support mobile deployments and ensure vehicle readiness 
• Lead diagnostic and repair protocols (on-site and remote) 
• Track operational KPIs and budget adherence for fleet performance 
• Train, mentor, and oversee drivers for vehicle safety and compliance 
Fleet Operations: 
• Lead the health and maintenance of all mobile units, including diagnostics, repairs, scheduling preventive and unscheduled services, and maintaining compliance records. 
• Oversee outfitting and enhancement of vehicles with clinical research-ready systems including electrification, UV disinfection, refrigeration, GPS/cameras, and other protocol-specific instrumentation. 
• Maintain accurate fleet documentation across service logs, regulatory certifications, and operational configurations. 
• Collaborate with management and across functions to maintain financial stability through identifying cost-saving opportunities and recommending strategies for expense reduction. 
• Collaborate with Training and People teams to develop and implement effective learning plans, onboarding programs, and role-specific training modules. 
• Ensure in-person training, SOPs, and training materials are regularly updated to reflect new initiatives, process changes, and workflow adjustments. 
Vendor & Team Leadership: 
• Supervise and contract mechanics, electricians, and retrofit specialists to execute modifications or repairs across the fleet. 
• Manage internal teams or third-party vendors responsible for equipment installation, preventive maintenance, and emergency repairs. 
• Oversee project timelines and budgets related to vehicle enhancements and upgrades.
Clinical Support Logistics: 
• Collaborate with Delivery Teams to execute site setup, trial implementation, maintenance, and decommission. 
• Coordinate procurement and inventory for vehicle maintenance supplies, diagnostic tools, and emergency equipment. 
• Support deployment of mobile units by planning logistics, assisting with setup, and occasionally driving vehicles or facilitating load-in/out of critical equipment. 
• Serve as primary fleet operations liaison for Clinical Operations and Site Deployment teams. 
• Ensure compliance with company-wide objectives and standard operating procedures.  
Other Responsibilities:
• Drive innovation in vehicle design to align with clinical protocol evolution. 
• Collaborate with cross-functional leaders on planning for trial expansion, logistics capacity, and emergency preparedness. 
• Lead 1–3 continuous improvement projects annually to enhance fleet scalability and reliability. 

Physical Requirements:

• Work involves hands-on engagement with vehicle systems, including lifting equipment, performing mechanical diagnostics, and traveling to deployment sites.
