Summary
Under the supervision of the Fleet Director, the Fleet Data Coordinator ensures the accuracy, integrity, and timely updating of all fleet- related data. The role maintains records for maintenance, parts, fuel, and chargebacks while upholding internal data standards. The analyst identifies and resolves data inaccuracies, supports efficient workflows, assists with budget tracking and administrative needs, and delivers clear reports to internal teams and leadership-highlighting data issues, workflow delays, and key fleet KPls.
Duties & Responsibilities:
Enter and maintain data in Fleetio System related to vehicle maintenance, repairs, parts usage, fuel consumption, and assignments.
Assists with KPI tracking for Fleet Operations.
Generate and distribute reports for internal departments.
Assist with logging purchase orders and tracking invoice payments.
Support Fleet Services and Parts Manager with general administrative tasks.
Help coordinate equipment quotes and service-related documentation.
Respond to data/reports requests from internal departments.
Assists users with system access and reporting features.
Assist the Parts Manager with inventory of parts.
Organize and maintain digital and physical records, including work orders and vendor invoices.
Participate in special assignments as requested by Fleet leadership.
Support internal meetings, including vehicle committee coordination and prioritizing replacements.

Examples of duties
Education:
High school diploma or GED equivalent from an accredited educational institution.
Knowledge, Skills, and Abilities:
Intermediate understanding of Microsoft Office
Comfortable working with data, running reports, and presenting findings in a clear format
Strong attention to detail and accuracy
Excellent communication and teamwork skills
Ability to work independently and prioritize multiple tasks
Licensure:
Valid Driver's License

Qualifications
Familiarity with FLEETIO or other fleet management software (preferred but not required)
Supplemental information
Hours:
Regular Full-Time 40 hours a week, 7am-3:30pm
Possible nights and weekends as needed
Possible 12-hr shifts, after hours if needed during time of natural disasters and emergency
Employment may be contingent on passing a drug screen and meeting other standards.
