The Field Operations Administrator provides operational support for the Construction and Installation & Maintenance departments by managing calendars and schedules, scheduling trainings and meetings, supporting department recruiting efforts, and facilitating communication for office staff and field crews to ensure the efficient operational function of each department. This position is also responsible for the maintenance of accurate records and data reporting within both departments as well as managing relationships with subcontractors and vendors.


The right individual for this role will be comfortable multitasking in a very fast-paced environment, with a keen attention to detail. They will demonstrate an ability to effectively and professionally communicate in a manner that builds positive professional relationships.


Duties and Responsibilities:

  • Maintains department calendars, including training, meetings, weekly personnel schedule, and on-call rotation schedule.
  • Maintains department records, including employee training, DOT files, safety, and production data, ensuring proper filing and storing of information.
  • Compiles and maintains department reporting data and prepares presentation of data, including quarterly reporting metrics for Board, as requested.
  • Build and maintain relationships with department vendors, assist with the sourcing of materials, vehicles, and subcontractors.
  • Maintain subcontractor agreements, ensuring proper documentation and recordkeeping of agreements.
  • Generates department documentation (such as SOP’s, policies, etc.) as requested.
  • Helps communicate information, policies, SOP’s, etc. to department personnel.
  • Provides support to personnel as a point-person for questions relating to operational issues.
  • Screens applicants, schedules interviews, and coordinates offer letters, as requested.
  • Support field inspections, coordinating the scheduling and communication both internally and externally.
  • Facilitates the monthly Safety Committee Meetings, acting as Committee Chair, and documenting meeting minutes.
  • Assigning and clearing Facility Point Inspection reports/ violations in NJUNS with V.P.
  • Bi-weekly review and approval of all timecards
  • Primary point of contact for Asante Work Health- reviewing all DOT drug screens
  • Maintain and update all FMCSA required driver folders for all crew members
  • Maintain and update all training folders and documentation for the crew to have ready at any time for OSHA inspections
  • Point of contact and primary person responsible for all liability insurance related items for departments
  • Works closely with Human Resources to access the needs of the company and align our department with those requirements

Requirements

  • Experience successfully meeting the administrative needs of a fast-paced organization, preferably in the construction industry, including schedule management, data reporting, and facilitating communication.
  • Ability to professionally communicate and effectively collaborate with all individuals within the company.
  • Experience using MS Office and Google to create worksheets and documentation to manage information and data.
