The Role
Join our dynamic Corporate Events team and elevate your event planning career at Proofpoint. We’re looking for a passionate, organized, and detail-driven Event Coordinator who excels in a fast-paced, team-oriented environment. In this role, you’ll be instrumental in executing impactful corporate events, including tradeshows, exclusive internal experiences, and high-profile customer events. Responsibilities include managing all aspects of event logistics, including venue selection, scheduling, vendor communications, and contract management. You’ll oversee payments and coordination to ensure seamless execution while supporting marketing efforts by creating and distributing promotional materials. Additionally, you will coordinate event setup and breakdown, ensuring every detail is in place for a successful event. On-site, you will manage AV setup, troubleshoot issues, and oversee staff to guarantee smooth operations and an exceptional attendee experience.

What You'll Do

As an Event Coordinator, you’ll be at the heart of every event, ensuring seamless execution from start to finish. Your responsibilities will include:

  • Event Planning and Logistics Assist in planning and coordinating events, including timelines, logistics, vendor management, and contracts.
  • Support post-event evaluations, gathering feedback, and contributing to improvement initiatives.
  • Budget Management Assist in managing event budgets by tracking expenses, ensuring cost-effectiveness, and maintaining budget accuracy.
  • Collaboration and Communication Partner with internal teams to ensure smooth communication and flawless event execution.
  • On-Site Coordination Oversee event setup and breakdown, manage event staff, resolve on-site issues, and ensure smooth day-of operations, including AV setup.
  • Marketing and Promotion Support marketing efforts by creating promotional materials, managing registration platforms, and assisting with event communications.

Qualifications:

  • Bachelor’s degree in event management, marketing, communications, or a related field.
  • 2+ years of experience in event coordination, ideally within the tech industry.
  • Proficiency in event management tools such as Cvent, or similar platforms.
  • Experience with platforms like Salesforce, Marketo, Zoom, Asana and Microsoft Teams.
  • Strong organizational, interpersonal, and creative problem-solving skills.
  • Willingness to travel and work flexible hours to support events.
