Job Summary:
The Administrative Support/Inside Sales position will provide administrative and clerical support to relieve department managers or staff of administrative details. Serves as Receptionist and greets/processes visitors, coordinates messages/ appointments, provides information to callers, performs file maintenance, maintains office supplies, distributes mail and performs other essential tasks. Operates office equipment. Performs administrative support for Inside Sales Department. Consistently works on complex assignments requiring independent action and a high degree of initiative to resolve issues. Acts independently to determine methods and procedures on new assignments.
Detailed Description:
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Greets and checks-in scheduled visitors, confirms visitor authorizations are in place, performs visitor screenings and pre-visit activities.
- Routes incoming mail and phone calls. Prepares outgoing mail and correspondence, including e-mail and faxes.
- Organizes and maintains file system, files correspondence and other records.
- Performs administrative support for various functional areas/departments, including Inside Sales/Customer Service and Trade Compliance.
- Coordinates and arranges meetings, reserves and prepares facilities, and may record minutes of meetings.
- Coordinates activities between departments and outside parties. Contacts company personnel at all organizational levels to gather information and prepare reports.
- Assist in creating quotations and converting quotations to orders.
- Assist in setting up prospect customer process.
- May assist with travel arrangements and expense reports.
- Conducts research, analyzes data, determines approach, compiles and prepares reports/recommendations for management decision making.
- Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

Education and/or Experience
5+ years of experience in a clerical and/or administrative support role; Certificate in a related specialized function or Associate's Degree in related field and/or training; or equivalent combination of education and experience.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
