Summary: Effectively administer our pool contracts and achieve pool financial goals/health, while fulfilling our organization’s goals and initiatives. Responsible for the daily administration and board management of the assigned pool(s) including meeting planning and board management strategy. Maintain a good working relationship with the Board of Directors. Maintain appropriate levels of communication between Clear Risk Solutions (CRS) support team members and the Board of Directors. Oversee the pool operations and maintenance of records sufficient to maintain compliance with state law and pool policy.
Essential Duties and Functions:
Pool:
- Work together with CRS departments and pool support teammates to fulfill all pool(s) Professional Service Agreement requirements. Track and fulfill contract renewal RFP requirements.
- Carry out the daily management and assignments related to the operation of the pool(s) assigned.
- Oversee the development of online presence for pool(s).
- Ensure compliance with state agencies, WAC/RCW requirements, carriers, and others, as necessary. This may include collaboration from other departments.
- Prepare the program budget with and obtain approval from Sr. Leadership Team prior to distribution to board members. Make recommendations on all budget line items. Prepare a budget presentation for the Board and/or Committee of the Board.
- Maintain good working relationships with members, including in-person visits, calls, and/or other communications. Contact all members on notice and attempt to schedule retention meetings.
- Maintain relationships with the current Auditors, State Risk Manager, Legislative Lobbyists, market intermediaries, and carriers, as needed. Participate in all pool audits (State, DES, Claims TPA, etc.) and inform Sr. Leadership Team of all audits prior to start.
- Represent pool(s) in any state committee and other state and/or national events.
- Oversight to ensure compliance for program minutes, agendas, contracts, resolutions, bylaws, and membership agreements signed, current, and in appropriate systems and on website, as required.
Board:
- Manage and maintain a good working relationship with the Board of Directors and keep communication open between the Clear Risk Solutions team and the Board of Directors.
- Promote a common vision and establish effective communication to build support, unity and trust among the board and CRS Team members.
- Plan content for board meetings and calendar, with Board Chair.
- Oversee the planning and organization of board meetings, board retreats, board committee meetings, and member meetings. This may include collaboration from other departments and will require coordination with the Board of Directors and teammates working on the event. Conduct pre-meetings with CRS prior to board meetings/retreats.
- Recruit and evaluate new prospective Board members for appointment.
- Communication and engagement with accountants, actuaries, attorneys, or other professionals, as authorized by the board.
Clear Risk Solutions:
- Collaborate with all Pool Directors and communicate with each other on the status of each pool; coordinate regarding contact with wholesale intermediaries, carriers and departments to help prioritize requests and maintain the health of all pools.
- Communication to CRS of Board goals and objectives for pool(s), annually, or more frequently, as necessary. Develop, propose, and execute action plans to achieve board goals, as needed.
- Maintain situational awareness of competing programs leadership and collaborate when needed for the greater benefit of our members and industry.
- Develop the Assistant Pool Directors through intentional mentoring and professional growth opportunities.
- After-hours travel for board meetings, retreats, and annual events is necessary.
Partners/Carriers:
- Prepare messaging to brokers/members related to renewal pricing or changes, in conjunction with leadership and underwriting.
- Develop effective relationships with current and future carrier partners.
- Recommend and negotiate sponsorships or partnerships on behalf of the pools with other agencies, as desired by the Board.
- Other duties, as assigned.
Competencies:
- Proficient computer skills and efficiency with Microsoft and Origami programs. Ability to learn other business software programs.
