Job Description

This role will be based in Carpinteria, CA.

The Associate Production Project Manager owns the scheduling, coordination, and collaboration with our vendors and contractors for the LinkedIn Learning libraries. As a collaborative, results-driven communicator, the Associate Production Project Manager partners with production teams and vendors to ensure production priorities and outcomes are met on time and in scope. This position will report to the Production Project Management manager.

Responsibilities

  • Autonomously manages multiple external resources by scheduling and assigning projects to individual contractors/vendors, aligning to internal production priorities. 
  • Strategically align external resources by tracking resource utilization and capacity, and proactively communicating changes with impacted stakeholders.
  • Own supplier contracts, invoices, and budgets to help forecast future spending and costs of outsourcing work.
  • Act as an advisor to content production teams to help identify additional areas of support that can be provided by the Production Project Management team.
  • Manage and Coordinate contractor inventories for video editing, audio engineering, technical writing, voiceover, and graphics.
  • Monitor and track against the Post-Production Pro Services budgets.
  • Prepare and upload material to contractors and vendors storage folders. 
  • Build out new workflows & tools that can scale with the business.
  • Create documentation that details course objective deliverables and delivery deadlines for contract agreements.
  • Communicate clearly with key stakeholders (Producers, Audio Engineers, and Graphic Designers) to ensure successful handoffs throughout the post-production process.
  • Acts as a mediator, facilitator, and point of contact between contractors/vendors and the internal Post-Production team.
  • Maintain quality of—and continuity across—multiple projects while meeting deadlines.
  • Collect qualitative metrics to ensure deliverables from external partners meet defined expectations of quality.
  • Track and coordinate the handoff of deliverables to cross-functional teams and stakeholders.
  • Evaluate productivity and collect data for quarterly performance reports for contractors/vendors.
  • Proactively identify and communicate potential project risks to stakeholders 
  • Identify, develop, and implement new and unique ways to improve workflow operations and process improvements as needed.
  • Anticipate, identify, and communicate potential roadblocks and risks. Work with stakeholders across partner teams to remove roadblocks and reduce risk.
  • Ensure data accuracy through all stages of the course production/project workflow.
  • Approach change with agility and positivity.
  • Identify, review, and drive the onboarding process for potential new vendors/independent contractors.
  • Build, manage, and improve vendor workflows of multiple languages & departments.

Qualifications

Basic Qualifications

  • 3+ years of work experience managing complex schedules and projects

  • Excellent project management skills with a solid foundation of project management phases and objectives 
  • An understanding of production, post-production, scheduling, and digital media
  • Self-motivated, skilled, and proactive communicator and problem solver
  • Ability to manage multiple projects, deadlines, and priorities in a fast-paced environment
  • Advanced skills using Excel, Mac OS, Windows, Google Apps
  • Ability to quickly learn new concepts or domains, uncover risks, and guide decision-making with a commitment to continuous improvement
