Job Title: Office Admin Assistant
FLSA Status: Part Time - non-exempt
Reports to: Corps Officer
Schedule: Mon – Fri 8:30-2:30, no more than 29 hours per week
Supervises :N/A
Rate of Pay:$18/hr

Benefits: Standard; Part-Time, Non-Exempt employees are eligible for but not limited to the following:
- Sick leave benefit – 1 day per month, 12 sick days per year (accrual and availability begins at hire; sick time accrual is pro-rated for part-time hours.)
- Vacation benefit – 10 vacation days per year, accrued at the rate of .0385 hours for each hour worked, excluding overtime (accrual begins at hire but may not be used until the completion of six months of employment; vacation accrual is pro-rated for part time hours.)
- Pension Plan (after one year of continuous service) with at least 21 hours worked per week.
Duties and Responsibilities
- Perform administrative and clerical support tasks, including answering and screening calls, handling mail, recordkeeping, filing, recording minutes for staff and Advisory Board meetings, general correspondence, and scheduling. Actively promote Salvation Army ministry programs to those who enter The Salvation Army.
- Warmly greet all visitors to The Salvation Army, answer, direct and provide recommendations as needed to guests and callers, referring them to the appropriate individual or organization for assistance.
- Prepare receipts for payments and in-person donations.
- Supervise the handling of gift-in-kind items with adherence to Salvation Army policies and integrity.
- Processes volunteer applications and background checks, train and monitor the work of volunteers to meet program needs; prepare records and reports regarding the same.
- Assist social service clients in completing their initial intake forms and scheduling appointments as needed.
- Guide all clients through regular and seasonal social service assistance, aiding with the disbursements of vouchers, goods such as food, clothing & hygiene products, and other necessary items. Connect clients with the volunteers scheduled to serve in the social service area.
- Assist with the cooking and coordinating of meal programs as needed by the Program Director.
- In partnership with the Program Director, ensure all storage areas are in compliance with the Department of Health and fire department code and are ready for inspections.
- Assist with seasonal special events, including but not limited to, High Peak Camp registrations, Back to School events, Holiday meal service, Angel Tree and Red Kettle programs.
- Maintain accurate and up to date filing of all paperwork and compile all necessary statistics for social services on a weekly and as needed basis
In conjunction with the Officers and Program Director, the Office Assistant will ensure that all who enter the doors of The Salvation Army have a safe, equitable & respectful experience.

- High School Diploma or higher
- Skills
- Commitment to fulfilling The Salvation Army mission and positively representing the brand both internally and externally
- Commitment to excellence and efficiency, with the ability to work independently and collaboratively to create solutions within a deadline-driven environment
- Excellent organizational, time management, and follow-through skills
- Excellent written and verbal communication skills
- Ability to exercise appropriate level of professionalism and discretion when dealing with confidential information
- Qualifications

- Driving
- If the position requires driving:
- A minimum age of 21 (for insurance provision) and possession of a valid in-state driver’s license is required.
- An MVR will be processed every year in accordance with The Salvation Army’s policies.
- Background Check
- Continued employment will be contingent upon a biennial (every two years) background check that is processed in accordance with The Salvation Army’s policies.
