POSITION SUMMARY DESCRIPTION:
The Assistant Director for Mailings and Materials controls the division’s materials inventory and manages the mail program. This position is responsible to keep accurate counts of the materials that are in the inventory, keeping all materials in the inventory current and available. This requires timely communication with Marketing and Print and Postal Services.
ESSENTIAL FUNCTIONS OF THE POSITION:
• Manages extensive inventory of Undergraduate Admissions, Dual Enrollment, and university representative resources working closely with Marketing Services to develop and update existing materials and forms.
• Develops and implements processes with Campus Post Office and Print Services.
• Processes mailing lists which includes creating and running queries for mailing lists from the CRM (Slate), organizing materials and mailing resources, processing mailings through Postal and Print Services until mailing is in the mail stream. Creates interactions and enters them for all mailings to the student record in the CRM (Slate). Follows up on address quality issues. Updates Smartsheet to document mailings processed, in order to track postal charges and accounts charged.
• Hires and supervises temporary staff as needed for mailings, determining hours and length of time to work on specific mailings.
• Fulfills materials requests for university representatives including Admissions counselors, Dual Enrollment, Church Relations, the EM Vice President and the University President. Develops packing procedures, monitors materials on the road and processes returns for recruitment follow-up. Tracks displays, covers, stands and other promotional resources used on/off campus. Documents order fulfillment for tracking purposes. Communicates resource needs to director.
• Manages the preparation of materials for Heartsong, Worship and Music touring teams, coordinating processes with Christian Ministries and Enrollment Management. Produces profile reports and arranges for pick-up and delivery of materials.
• Supervises student assistant communications, hiring and orientation, scheduling, payroll, recognitions and employment records. Supervises student assistants on mailings, at individual mail stations, and packing stations. Evaluates students on a periodic basis.
• Works as a team with Enrollment Services staff, assisting with Admissions email account, student training, processing inquiries from prospective students, processing returned mail and NCOA lists.
QUALIFICATIONS:
• At least two years of college preferred or related experience. Preference given to Cedarville University alumnus.
• Excellent skills in typing and computer with a working knowledge of spreadsheets and word processing
• Excellent skills in problem solving, interpersonal communications and organization.
• Strong managerial skills; able to lead and motivate subordinates and colleagues.
• Must also be mature spiritually and emotionally, energetic, professional, personable, attentive to detail and accuracy, work well in team setting, able to handle pressure and be teachable.
REQUIRED MENTAL/PHYSICAL ABILITIES:
• Must be able to communicate through verbal and written words.
• Must be able to make repetitive motions with wrists, hands and fingers.
• Must be able to use a pen or similar writing instrument to write words on paper.
• Must be able to use a personal computer for data entry and correspondence.
• Must demonstrate the ability to sit for extended periods of time in an office setting.
• Must be able to lift objects up to 35 pounds.
ENVIRONMENTAL CONSIDERATIONS:
• Work is performed in an office environment
• Periodic interactions with inclement weather due to the nature of the position
