Summary: The DEI Project Administrator provides a wide range of project and administrative support to the DEI Directors and Department. Major responsibilities include but are not limited to: coordinating and/or assisting with management of project and program activities, resources, communications, timelines, schedules, and budgets; providing administrative support for DEI member-facing workgroups and learning initiatives; planning events and meetings; preparing or contributing to reports, documents, and communications; and performing other duties as assigned for the Diversity Department.
This exempt position will report to the Manager, Diversity, Equity and Inclusion in the Division of Executive Services. It is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote.
Primary Responsibilities:
- Provides administrative support for the development and coordination of department projects and programs, particularly the member-facing initiatives: assists with management of multiple projects simultaneously to keep all parties updated; maintains project reports on timelines and deliverables; assists in planning and implementing internal and external communications; schedules meetings and other vehicles to maintain effective communications with department constituencies and stakeholders; and maintains complete reports of project activity (e.g., minutes, summaries of calls, and reports).
- Communicates and coordinates the development of the DEI Department's innovative workgroups and learning communities; maintains database of DEI stakeholders engaged with DEI innovations for the distribution of learning activities; coordinates the development of relationships with external collaborators for content distribution and ongoing engagement.
- Provide or assist with administrative support for the department, including scheduling internal and external meetings, managing complex schedules, drafting correspondences for review and approval, making travel arrangements, and preparing travel reimbursements for expenses, ordering supplies, drafting SOPs, and assisting with other administrative duties as needed.
- Stay abreast of diversity, equity, and inclusion (DEI) and general association management principles and practices for own continuous learning and to provide subject matter guidance to others.
Required Education and/or Experience:
- Bachelor’s degree from an accredited college or university preferred, but not required.
- Prefer a minimum of 4+ years of professional experience that includes exposure to diversity, equity and inclusion projects and/or initiatives.
- Experience supporting executives and coordinating high visibility projects required; experience in supporting and coordinating innovative educational programs a plus.
- Experience in associations, association management, medical specialty societies, or in a medical/clinical environment strongly preferred.
- Strong working knowledge of Microsoft Office Products (Outlook, Word, Excel, and PowerPoint), and Adobe Acrobat; tech savvy with working knowledge of web-based survey software, association management software, internet browser and cloud computing desired.
- Excellent communication skills (verbal, written, and proofreading) necessary to effectively interact with all levels of organization.
- Strong attention to detail, multi-tasking and organizational skills.
- Ability to establish strong working relationships with all division teams and management.
