The Senior Administrative Assistant will provide administrative support to 3-4 Curriculum Associates (CA) executives and serve as office manager in CA’s Greensboro, NC office. The ideal candidate thrives in a fast-paced, collaborative environment, has a strong attention to detail, likes to connect teams and build culture, and is motivated by proactively identifying and solving problems.
The Impact You'll Have:
1. Manage calendars of Chief Marketing Officer, Chief AI Officer and other executives as assigned
2. Manage travel and booking expenses for Chief Marketing Officer, Chief AI Officer and other executives as assigned
3. Support the functional Marketing and AI teams with administrative tasks
4. Track and process POs, invoices, and contracts on time for the Marketing and AI teams
5. Coordinate with company’s other administrative assistants to plan and execute cross-functional meetings
6. Collaborate on special projects, such as PowerPoint presentations, spreadsheet compilation, document proofing, and meeting materials preparation
7. Monitor, screen, and respond in a timely manner to all internal/external communications
8. Plan and execute special events both onsite and offsite, such as meetings, trainings, and celebrations to ensure that all details are well-managed and events run smoothly
9. Lead and oversee small event planning across the team and within the company
10. Prepare all materials for team meetings and ad hoc team meetings, as requested
11. Prepare communications in coordination with leaders and communication owners by collecting content from all stakeholders, running the review process and populating templates
12. Prepare materials for regular Marketing and AI team meetings and ad hoc team meetings, including presentations, meeting notes, action item lists, etc.
13. Provide backup support for other Sr. Administrative Assistants as requested
14. Support special projects and day-to-day team processes and related inquiries
15. Perform safety coordinator duties as needed Responsible for Greensboro office manager duties doing activities such as:
- Engages with Facilities and on-site office leads to help maintain a positive employee experience
- Perform Candidate Experience duties to ensure all interview candidates coming to the facility are greeted & welcomed
- Serve as main contact for CA employees and external guests who visit the space for meetings, retreats and/or trainings
- Process incoming and outgoing mail and packages
- Coordinate guest security needs by managing temporary fobs & special access requests
- Serve as on-site contact for local supply vendors for general office supplies, water, coffee/tea, and snacks
- Be secondary point of contact (POC) for maintenance vendors and landlord as requested. (Facilities team is the primary POC.)
- Support in-office events and replies to employee requests
