FIELD OFFICE ADMINISTRATOR

Parsons is now hiring a Full-Time Field Office Administrator for our rapidly expanding team. Parsons extensive experience, combined with your attention to detail and willingness to work hard, will propel your career forward.

 

T5 Program Summary: The Federal Aviation Administration (FAA) awarded the Technical Support Services Contract 5 (T5) to Parsons in April 2023. Parsons is the prime contractor. This $1.8+ billion contract has a 4-year base period with two 3-year options. The statement of work includes a variety of activities that support the FAA’s Capital Investment Plan (CIP) and certain reimbursable programs, the FAA NextGen Program, national security programs and aviation safety. Specifically, work includes site selection and engineering, construction, environmental and fire/life safety, equipment installation and testing, drafting, contract surveillance, and other technical services as required. Work is performed across the nation in each of the FAA’s nine regions as well as the Aeronautical Center in Oklahoma City, Oklahoma, and the Technical Center in Atlantic City, New Jersey and in several U.S. territories. An average staff of 500 with a peak staff over 650 supports this contract, in addition to those subcontractors who perform construction work. 

 

Responsibilities:

Serves on a full-time basis, as a remote Administrative Assistant working in the Pacific time zone supporting the T5 Program through the National Program Office based in Washington, DC.

  • Serves as the focal point for all administrative support from internal and external sources, provides reports to senior management, and tracks and reports on schedule/task completion.
  • Process vendor invoices according to project specific directions and accounting.
  • Reconcile purchase card purchases to ensure proper accounting.
  • Provides the following: Point of Contact for office administration, Assist with Staff Administration, Office and Project Filing, Office supplies (orders) Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Ensure local licensing compliance (maintaining business type license and is a general point of contract for office)
  • Maintains office services by organizing office operations and procedures; controls correspondence (sign for and distribute UPS/Fed Ex/Airborne packages); implements and maintains the TSSC Work Release Filing System, prepares office supply requisitions, etc. Point of Contact for Facility Management / Maintenance.
  • Coordinates and maintains records for project contact phone numbers and addresses, etc.
  • Setup and coordinate meetings and conferences to include arranging accommodations and entertainment for company visitors.
  • Helps to ensure Federal Government Compliance -Time Sheet, Procurement, Property, etc.
  • Other duties as assigned including expense reporting.

 

Qualifications

  • 5+ years of administrative experience with experience supporting upper-level management is required.
  • High School Diploma or equivalent is required. Some college or administrative certification is preferred.
  • Excellent organizations skills and the ability to multi-task in a project orientated environment are required.
  • Ability to work independently with little supervision is required.
  • Strong written and oral communication, organizational, and interpersonal skills are required.
