Overview
JOB SUMMARY
Responsible for overseeing the duties of the back office staff. The Medical Scheduler is an individual who assists the staff and physician by scheduling patients for appropriate follow up appointments and necessary tests and procedures. The Lead Scheduler functions as a member of the healthcare team with responsibilities that commensurate with educational preparation and demonstrated supervisory competencies. Direct patient interaction is provided to patients of all ages.
Responsibilities
JOB RESPONSIBILITIES
The following is a summary of the major functions of this individual's job. He or she may perform other duties, both major and minor, which are not mentioned below, and specific functions may change from time to time.
- Supervision of back office staff that is responsible for the scheduling of patient appointments.
- Supervise back office staff that will be handling calls requesting appointments with many physicians. Assure staff is trained to answer appropriately, and following all scheduling protocol.
- Approve time off requests prior to staff submitting to Practice Manager on ADP time keeping.
- Manage rotation schedules back office staff.
- Hold meetings monthly or as needed with staff.
- Adheres to HIPAA guidelines and ensures the same from the back office staff. Reads, acknowledges and follows updates to policies and procedures.
- Schedule follow up/return visits to our office for patients.
- Obtain appropriate pre-certification and pre-authorizations, as needed.
- Schedule medical tests and procedures for patients. (i.e. - interventional invasive cardiology procedures, electrophysiology, etc.)
- Discuss patient instructions for procedures with patient so patient has clear understanding of what is expected.
- Calls patients to schedule procedures and give instructions over phone with follow-up letter with instructions.
- Use Allscripts, Centricity Business, online paging systems. Retrieve information from other hospital systems.
- Exhibits friendly and helpful behavior.
- Other duties as assigned.
Qualifications
MINIMUM EDUCATION & EXPERIENCE
- High School Diploma or Equivalent required.
- Four years of scheduling in a multi-specialty clinic, preferred.
- Supervisory experience, preferred.
